This is an exciting opportunity for a Project Management Office (PMO) Coordinator to join our growing team. Please note that this is a fully remote role. It is therefore key that the successful candidate is a dynamic self-starter who can manage their own time and work independently as well as collaboratively as part of a team.

About the Role

As a PMO Coordinator, you will support the Project Management Office (PMO) in various administrative and operational tasks to ensure the smooth execution of project management processes. Your role will focus on managing projects within the studio, ensuring compliance with best practices, and supporting project teams in delivering high-quality solutions for our clients, on time and in budget.

Additionally, you will have client-facing responsibilities, acting as a point of contact to ensure clear communication between internal teams and external stakeholders where project requirements and expectations need to be managed. You will assist with and manage service-related inquiries, track client-facing project milestones, and ensure project deliverables meet with standards and expectations.

You may also support internal or client-facing marketing initiatives as required. This can include website or content population, helping coordinate internal teams or assisting Marketing teams with ad-hoc campaign-related tasks.

This role requires strong organisational skills, attention to detail, and the ability to multitask in a fast-paced environment. Ideally we are looking for a candidate who already has project management experience in an agency environment, although we are also happy to consider highly qualified and self-motivated graduates for this role. It is an excellent opportunity to gain experience in project management methodologies, business operations, and client relationship coordination.

Key Responsibilities:

PMO Coordination & Project Support:

  • Assist in the coordination and administration of PMO activities to ensure smooth project operations.
  • Maintain and update project documentation, reports, and dashboards.
  • Track project progress and key performance indicators (KPIs).
  • Help keep projects on track and make sure we’re working in a clear, organised, and responsible way.
  • Assist relevant team members in scheduling meetings, preparing agendas, and documenting minutes.
  • Ensure that project management tools and systems are used effectively.
  • Assist in issue tracking, escalating concerns when necessary.
  • Support resource allocation and capacity planning within the PMO.
  • Contribute to continuous improvement initiatives to enhance project efficiency and processes.
  • Assist with updating and managing website content via CMS platforms, ensuring accuracy and alignment with project goals.

Client Service & Stakeholder Communication (as part of PMO Coordination):

  • Act as a liaison between project teams and external stakeholders to facilitate smooth project execution.
  • Assist in managing project-related client inquiries, ensuring they are directed to the correct teams and resolved efficiently.
  • Ensure clear documentation and communication of project milestones and deliverables to clients when required.
  • Provide status updates on ongoing projects to key stakeholders and clients where relevant.
  • Assist in quality assurance checks prior to project or task completion to ensure deliverables align with expectations.
  • Support client service-related administrative tasks such as scheduling client meetings and preparing reports.

General:

  • Ensure adherence to company policies and procedures in all aspects of work.
  • Support internal projects and initiatives aimed at improving PMO functions.
  • Contribute to a culture of continuous learning and development within the PMO.
  • Assist with internal and client-facing projects as required, ensuring a superior level of service delivery.
  • Support internal or client marketing activities by coordinating tasks, organising assets, and helping track campaign progress.
Who You Are
  • Strong organisational and time management abilities.
  • Excellent communication skills, both written and verbal.
  • Ability to multitask and prioritise effectively.
  • Proficiency in Microsoft Office Suite and project management tools (e.g. Jira or similar).
  • Understanding of project management methodologies.
  • Experience in project coordination or administrative roles is desirable.
  • Strong attention to detail and problem-solving skills.
  • Ability to work collaboratively within a team.
  • Experience in content management and website CMS.
  • Basic understanding of digital marketing, and web development principles.
  • Customer service-oriented mindset with a proactive approach to resolving queries.
  • Adaptability to a fast-paced environment.
