Job Summary

To provide administrative support for the effective delivery of training and education to all grades of resident doctors within the Trust. Working as part of a team in the education centre and alongside others within PGME who manage the training programmes.

Main duties of the job

  • Process study leave applications as directed in a timely manner in accordance with the procedures and dealing with related queries.
  • Complete monthly NHSE Study Leave and locally delivered courses report for trust reimbursement.
  • Provide administrative support for the Director of Medical Education, Deputy Director of Medical Education and Medical Education Manager.
  • To provide administration support for the F2/ IMT Band 5 Coordinator.
  • To support the arrangement of F2/IMT teaching programmes - e.g. confirming speakers, booking rooms and circulating to trainees.
  • Support IMT Tutor and administration for the medicine faculty meeting (agenda and minutes).
  • Support F2, FTPD and foundation faculty meeting administration (agenda and minutes).
  • Ensure F2 HORUS e-portfolios are updated and provide administrative support for ARCPs.
  • To deal with any queries relating to the on-call room and the doctors' mess.
  • Provide administrative support to the Local Faculty Group Meetings and trainees for the following specialties.
  • To provide administration support for resident doctors' induction as advised by the induction lead.
  • To ensure that names are obtained for Educational/ Clinical supervisors from specialties for new cohorts of resident doctors.

Person Specification

Qualifications Essential
  • GCSE at Grade C/Grade 4 or above including English and Maths or equivalent.
Desirable
  • Educated to Degree level or equivalent.
Experience Essential
  • Experience of working with clinical staff in the NHS or equivalent in an administrative capacity.
  • At least 2 years previous administration experience.
  • Experience of meeting deadlines to agreed standards.
Desirable
  • Previous NHS administrative experience or in a similar setting.
  • Event co-ordination i.e. meetings, conferences, etc.
  • Experience of working in NHS Medical Education.
  • Experience of administering and attending meetings.
Skills Essential
  • Comprehensive IT skills in Word, Excel, PowerPoint, Outlook and MS teams.
  • Ability to analyse and interpret data and extract the relevant information. To report and act on the information appropriately.
  • Able to ensure attention to detail and to highlight and address errors.
  • Able to compose effective emails and letters.
  • Effective communication and interpersonal skills - written and verbal.
  • Database management knowledge and experience.
Desirable
  • Undertaking surveys and compiling reports on the outcomes.
