About the role:
As a Medical Project Coordinator, you will be supporting the EMEA (main focus) and APAC Medical Education team and the Medical Education activities associated with these two regions.
As the Medical Project Coordinator, covering two regions EMEA and APAC, you will focus on supporting the following areas:
- Medical Education Program Execution (logistics)
- KOL management (availability, calendars, logistics) & contracting
- Timely follow-up of KOL inquiries and Med Ed stakeholders inquiries
- Post program survey management
- Budget follow-up
- Events coordination
- Billing Process
You will:
- In support of your regional MSIs and other medical team, you will efficiently accomplish key tasks and company initiatives with the highest level of professionalism for your region for medical education programs.
- Create your regional KOLs profiles in the CRM/medcompli and ensure profiles, pictures, contact information, and utilization are all tracked and updated in a timely manner.
- Work with legal to complete any KOL contracting, from FMV to vendor creation.
- Support KOL and Vendors are paid in a timely manner.
- Support on the creation of post-event initiative reports in a timely manner.
- Support on Medical Education logistics implementation for medical education programs.
- Support on KOL logistics (flights/accommodation/scientific material support) for medical education programs.
- Manage Medical Education email inquiries as needed.
- Understand, educate and able to articulate ESTA compliance.
- Collaborate with other project managers to identify opportunities for improvement or process implementation.
- Support on program budget tracking.
- Support on other responsibilities as may be needed to support the department strategically.
- Handle payment process on time, PR/PO, medcompli, bills, and have close contact with finance.
You are and you have:
- Education: Minimum Bachelor's Degree or equivalent.
- Experience: At least 3 years in the medical device, pharmaceutical, or life sciences industry, or in an event coordinator role.
- Proven experience supporting departmental teams and global team members.
- Familiarity with working remotely across different time zones and with global partners.
- Demonstrated ability to support multiple team members effectively.
- Fluent in English is required; proficiency in French or Italian is a plus.
- Event Management: Experience in managing face-to-face (F2F) and virtual events.
- Availability for up to 10% travel in the European region.
