HR & Office Executive

We have an exciting opportunity for an experienced and enthusiastic HR & Office Executive to join our team based in the heart of West London.

Job Type: Permanent, Part Time (3 days/22.5hrs per week)

Winmark's core hours are 9:00am-5:30pm Monday to Friday; however, there may be occasions where you are required to work outside of this.

The Role

Reporting to the CEO, the purpose of this role is to ensure an outstanding employee experience through the effective administration, management and continuous improvement of Winmark's HR and office operations.

Key Responsibilities

Human Resources:

  • Support employee relations, formal complaints, and HR initiatives.
  • Maintain HR records and liaise with outsourced functions (Finance, Payroll, Pensions).
  • Manage recruitment, onboarding, and visa applications.
  • Ensure performance management and training programmes are effectively implemented.
  • Oversee compliance with UK employment laws and recommend process improvements.
  • Source and manage internships, ensuring a structured experience.

Employee Experience:

  • Enhance engagement, well-being, and company culture through initiatives and events.
  • Act as a key point of contact for employee queries and HR support.
  • Organise social gatherings, recognition programmes, and team-building activities.
  • Track employee sentiment through surveys and drive engagement strategies.
  • Promote a psychologically safe workplace and awareness of support programmes.

Office Management:

  • Oversee office operations, ensuring efficiency and compliance.
  • Manage supplies, contracts, vendor relationships, and facility maintenance.
  • Provide administrative support, coordinate meetings, and take minutes.
  • Handle office logistics, including security, post, utilities, and internal communications.
  • Maintain a well-organised, clean, and welcoming work environment.

Skills & Experience

  • Experience in HR, office management, or administration, with exposure to recruitment, onboarding, policy development, and compliance.
  • Bachelor's degree in HR or CIPD Level 5 would be advantageous.
  • Knowledge of employment law and HR best practices to support business needs.
  • Strong organisational and time management skills, able to manage multiple priorities independently.
  • Excellent communication and interpersonal skills, with the ability to engage employees at all levels.
  • Hands-on, practical approach to office operations, vendor management, and workplace facilities.
  • Proactive and innovative mindset for problem-solving and process improvement.
  • High attention to detail, ensuring accuracy in HR administration and office management.
  • Strong IT proficiency, including HR systems, Microsoft Office, and workplace tools.
  • Ability to handle sensitive and confidential information with professionalism.
  • Diligence in understanding and adapting to regulations, ensuring procedural accuracy.
  • Natural ability to build trust and credibility with others.
  • Self-motivated, proactive, and passionate about achieving excellence.
