THE POSITION
We are seeking a proactive Office and Human Resources (HR) Executive to keep our head office running smoothly while supporting HR with key administrative tasks. Responsibilities include recruitment support, onboarding and offboarding, employee engagement, and managing office operations such as liaising with suppliers and maintaining office resources.
The office-based role requires strong administrative skills, flexibility, and a confident, solutions-focused approach. The ideal candidate thrives in a fast-paced, creative environment and enjoys supporting a growing team of 80 in the office and 250 globally. We believe a great office experience is key to our success and this role ensures it happens.
ROLES AND RESPONSIBILITIES
The role is evenly split between office administration and HR team support.
Office Administration:
- Oversee daily office operations, ensuring a smooth and efficient workplace.
- Manage office layout, supplies, stationery, post, and deliveries and coordinate facility maintenance.
- Build and maintain relationships with suppliers.
- Act as the Health and Safety Officer, conducting assessments and coordinating committee meetings.
- Provide administrative support, including travel arrangements, diary management, and expenses.
- Plan and execute office social events across the year.
- Assist with event management for the annual retail conference.
- Support with the planning and execution of our physical and online staff sales.
Human Resources:
- Support employee lifecycle tasks, including onboarding and offboarding.
- Administer the HR system (Hi Bob), ensuring data accuracy and updates.
- Assist with recruitment, posting job ads, system administration on the applicant tracking system (ATS), and providing system support to all hiring managers across the business.
- Coordinate training events and digital training modules for teams across the different regions.
- Coordinate employee benefits with various suppliers across the different regions.
- Handle ad-hoc projects as directed by the line manager.
SKILLS AND EXPERIENCE
- At least one year of experience in office and/or facilities support.
- Passion for people support and fostering a positive team environment.
- A roll-sleeves-up attitude, able to start projects autonomously, and follow up to get tasks done.
- Energetic, friendly and results-driven with a can-do attitude.
- Willingness to learn and adapt in a fast-paced environment.
- Strong organisational skills and attention to detail.
- Confident in decision-making and using initiative.
