The initial focus of this role will be to implement an HR and payroll system, with responsibilities including:
- Defining the scope, assessing the risks and potential issues, and providing solutions for the implementation of the new HR and payroll system.
- Developing process documentation (‘As-Is’ and ‘To-Be’ processes) to align the system with the project’s vision.
- Engaging with all members of the King’s community to gather and communicate system requirements.
- Producing use cases to drive functional and nonfunctional design and development of the system.
- Developing and coordinating functional and user acceptance test plans.
- Coordinating testing to ensure the system is properly configured, and will be effective for users.
- Working with the IT team and other relevant staff to lead the configuration, installation and integration of the new system.
- Designing systems for reporting and analytics using Power BI, ensuring system adaptability.
- Working with the supplier and IT team on data migration.
- Coordinating a full programme of training and documentation for staff who will use the system.
Additional responsibilities will include:
- Implementing process automations using emerging technology platforms and user-centric business solutions.
- Identifying data requirements and priorities through a close working relationship with the Bursar, Director of People and senior management.
- Developing data solutions including dashboards, reports, and visualizations from staff and student data.
- Ensuring data accuracy, integrity, and security with the IT team.
- Identifying business process improvements and presenting data-driven recommendations.
- Ensuring system efficiency, supporting ongoing monitoring and assessment.
- Performing project and change management activities such as collecting and documenting requirements, tracking deliverables and facilitating communication to implement continuous process improvements.
- Working closely with senior management and key stakeholders for monitoring and assessing ongoing effectiveness of systems and solutions.
- Providing end user support for HR and payroll system.
- Taking ownership of maintenance, upgrade and further enhancement of HR and payroll system.
- Identifying issues with data quality and implementing appropriate solutions to address and prevent them.
- Managing access and permissions for HR data. Working with IT to identify and mitigate any risks to data security.
- Contributing to future technology projects within the school, as needed.
Person Specification
- Educated to degree level in a technical subject will be preferred.
- Experience in a technical field, ideally as a business analyst or software developer.
- Experience of data migration preferably with HR systems.
- Strong documentation skills for business analysis (e.g., process mapping, user stories, test scripts).
- Ability to manage projects independently and keep stakeholders informed.
- Experience with data visualization tools and the ability to present findings to different audiences.
- Knowledge of configuring ETL (Extract, Transform and Load) tools and/or ability to write code to extract data from multiple sources, automate data flows using APIs to various systems and platforms and prepare data for use in data visualisation platforms.
- Experience of building constructive relationships with colleagues at different levels.
- Experience of working with third party suppliers for procurement, implementation and ongoing evaluation and maintenance activities.
