The Physiotherapy and Occupational Therapy teams at London North-West University Healthcare NHS Trust are looking to recruit an enthusiastic Office Manager.

We are looking for an experienced person to work within our existing therapy team providing a high quality, comprehensive administration service, working in conjunction with Clinical Leads. You will lead a team of senior receptionists, so delegation and organisational skills are essential.

Previous experience in a similar role is essential, whilst area specific training will be provided. Excellent inter-personal skills are also essential as you will be required to liaise with therapists, reception staff, statisticians, patients / carers and GPs, as appropriate.

Main duties of the job
  • The post-holder will provide a high quality, comprehensive administration, leading a team of senior receptionist staff.
  • The post-holder will be expected to manage and prioritise their workload liaising closely with the Head of Service, clinical leads and other managerial staff to ensure that the service is adequately coordinated to effectively meet the needs of the Service and the Trust.
  • To liaise with key stakeholders within the Trust and external organisations such as GPs, social services, patients/carers/relatives etc.
  • Responding to complaints and medico-legal requests and actioning them as appropriate.
  • Provide general administration to the physiotherapy team, highlighting to management when department standards are not met.
  • To manage and organise physiotherapy outpatient appointments for NHS patients at Northwick Park Hospital, Central Middlesex Hospital and provide cover if required at Ealing Hospital.
  • To support income generation by supporting the clinicians with the existing schemes i.e. pay as you go.

  • High level Experience in administrative tasks and delegation

Knowledge
  • Knowledge of Word, Excel and PowerPoint

  • Knowledge or experience in using health roster
