Job overview

We are seeking a dedicated and motivated Clerical Officer to join our dynamic Ophthalmology Department. This is an exciting opportunity for individuals with experience in reception and administration to become an integral part of our team.

The ideal candidate will bring a flexible and adaptable approach to their work, as the role may involve a variety of tasks to support the smooth operation of our department. While previous experience in a hospital or healthcare environment is desirable, it is not essential, as full training and support will be provided to the right candidate.

This position offers the chance to work in a fast-paced and rewarding setting, where you will play a key role in ensuring the efficient delivery of surgical services within the Ophthalmology Department. If you are a proactive individual with strong organisational skills, a positive attitude, and a commitment to providing excellent administrative support, we would love to hear from you.

Main duties of the job

This is a vital role within our Ophthalmology Department, playing a key part in the delivery of high-quality patient care by managing the patient pathway and providing essential support to our wider team. Your day-to-day responsibilities will include:

  1. Receive and process all requests for surgery.
  2. Coordinate patient surgical appointments, offering choice of dates and times, and confirming all details, including special requirements (e.g., transport, interpreters).
  3. Maintain accurate patient records, ensuring demographic details are up-to-date and all interactions are recorded in relevant IT systems.
  4. Uphold patient confidentiality and comply with all Sheffield Teaching Hospitals policies, procedures, and guidelines, including mandatory training requirements.

Person specification

Education & Qualifications

  • GCSE at Grade C / 4 in English & Maths or equivalent
  • NVQ Level II in Business Administration / Customer Services / IT

Experience

  • Experience of working in an office environment
  • Experience of working in a public-facing role
  • Relevant experience within the NHS

Further training

  • Experience of using information and / or customer service systems
  • Working knowledge of Microsoft Office packages including Outlook, Excel, and Word
  • Previous experience of trust systems (ORMIS / Lorenzo or equivalent)

Skills

  • Understanding of data protection issues and GDPR
