Job description

Purpose of the Role:

This role is London based. Please do not apply unless you can be physically present in our London office.

The reception at ScotsCare is run by a team of volunteers and this role plays a vital part in the smooth running of our office; volunteer receptionists are the face of our organisation and often the first point of contact for our clients, supporters, and the general public.

Currently we require 2 additional volunteer receptionists. Shifts available are: Friday mornings 9am-1pm / Friday afternoons 1pm-4pm.

The role is to:

  1. Provide a professional, warm welcome to all visitors, ensuring they sign in and out.
  2. Answer and screen incoming calls and transfer to the appropriate member of staff/volunteer.
  3. Use Outlook to send messages, check staff availability and whereabouts.
  4. Respond to emails and collate information to send out and follow up to confirm receipt.
  5. Deal with outgoing post; frank, process recorded deliveries and take to the post office.
  6. Photocopy and/or scan documents as required.
  7. Assist with occasional large mail outs - envelope stuffing, franking etc.
  8. Assist with other admin tasks as they arise (skills/interests dependent).
  9. Adhere to our policies and procedures.

Skills / qualities needed:

  1. Reliable and good time keeping.
  2. Good communication skills and a friendly, confident telephone manner.
  3. Basic computer and admin skills.
  4. Compassionate approach to the aims of ScotsCare.
  5. A non-judgemental attitude.
  6. Willingness to attend volunteer meetings and occasional training days.
