Executive Assistant to Finance Director - IN Stores, IN Stores Finance

Executive Assistants engage in activities to increase capacity and effectiveness of the leader and contribute to the overall department efficiency. These activities often include the following: creatively optimizes the Leader’s time through effective calendar management; acts as a resource to the department with a thorough knowledge of company operations, policies and procedures; implements accurate and detailed project plans that align to the business cycle and uses good judgment when in contact with sensitive and highly confidential information. In this regard the key expectations from an EA are:

  1. Ability to complete high volumes of complex tasks and projects quickly with little to no guidance
  2. React with appropriate urgency to situations and events that require quick response or turnaround
  3. Take effective action in high level of ambiguity
  4. Efficiently and creatively solve difficult or complex problems that affect people within the group or other related groups.
  5. An EA needs to be client-service oriented, have great attention to detail while still meeting tight deadlines, have great organization skills and have the ability to switch gears at a moment's notice.
  6. A high level of integrity and discretion in handling confidential information and professionalism in dealing with senior professionals inside and outside the company is imperative.

Key Responsibilities
This role requires attention to detail, solid organizational skills, and the ability to meet tight deadlines while juggling multiple critical requests across global teams. The ideal candidate will be a detail oriented, experienced planner with the demonstrated ability to respond effectively and efficiently while maintaining flexibility and composure. The individual in this role must be a self-starter, someone who thrives in a fast-paced and ever-changing environment, with an uncanny knack and passion for learning and is comfortable with data and analytics. They should understand business priorities, demonstrate the ability to proactively anticipate needs and drive improvements to build capacity for the leadership team. A high level of integrity and discretion in handling confidential information as well as professionalism in dealing with senior executives inside and outside of the company is critical. The successful candidate will possess the ability to complete complex tasks quickly with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, and take effective action without having to know the whole picture. The ideal candidate must be able to work successfully in a team environment and build effective working relationships inside and outside the group. Familiarity with the local language (Kannada) and a Masters degree (especially an MBA qualification) would be a strong advantage.

Key Responsibilities include:

  1. Owning & driving initiatives from end to end.
  2. Track and help drive completion of key deliverables and follow up on outstanding items
  3. Monitoring existing metrics for initiatives that they work on and partnering with internal teams to identify process and system improvement opportunities.
  4. Work closely with the leadership team, recruiting and other Executive Assistants to provide support to the organization
  5. Management of complex calendar and scheduling to support teams in multiple locations
  6. Manage domestic and international travel
  7. Manage expense report coordination and submission
  8. Organize, execute, and assist with team activities (staff meeting agendas, all-hands meetings, off-sites, and team social events)
  9. Act as a liaison for direct reports
  10. Management of team space, including moves and reconfigurations
  11. Have fun at work and help others do the same

BASIC QUALIFICATIONS

- Experience with Microsoft Office products and applications

PREFERRED QUALIFICATIONS

- Experience leading process improvements
- Experience in a fast-paced, high-tech company
- Experience designing processes to maximize efficiency
