We are hiring!

Circet UK are hiring a Training Administration Manager for our Wireless division.

The purpose of this role is to ensure that all required Circet personnel (and required contractors) meet the minimum competency and capability requirements to carry out their roles safely and effectively while working for (or on behalf of) Circet. The role will ensure that all required training portals, systems and functions remain up to date, accurate and compliant at all times. This role will also act as people manager and mentor to any training admin team members.

Duties and Responsibilities

  1. Lead, mentor, and develop a team of training administrators, ensuring high performance and engagement.
  2. Allocate tasks and responsibilities within the team to ensure smooth and efficient training operations.
  3. Conduct regular team meetings and performance reviews, providing support and development opportunities.
  4. Provide administrative assistance to the training team and individual trainers.
  5. Manage clients (e.g., Ericsson) Card Registers (and other site access systems) ensuring they remain up to date and accurate at all times.
  6. Process clients (e.g., Ericsson) CPS Card applications, updates, and removals in accordance with their requirements and guidance for Circet employees and contractors.
  7. Manage Qualified Persons List's (QPL's) for clients ensuring they remain up to date and accurate at all times, and communicated to the client within SLA on a regular basis.
  8. Manage the PICW Register ensuring it remains up to date at all times, including the addition, modification, and removal of any users.
  9. Manage the Streetworks Card Register, ensuring it remains up to date and accurate at all times.
  10. Manage the Locken and ILOQ Registers, ensuring that compliance requirements are met and all details are accurate and up to date at all times.
  11. Manage the OBASS Card Register, ensuring it remains accurate and up to date at all times.
  12. Manage the enrolment of training (both internal and external), including the issue, update, and removal of Joining Instructions, Calendar Invites, schedules, Pre-Course Information, etc. as required.
  13. Organise suitable and sufficient facilities and resources to facilitate training sessions and programmes.
  14. Manage Training Sales / General Enquiries through email, telephone, social media, and other platforms.
  15. Promote and manage the Social Media content for the Training Centre / Training Function ensuring that regular business updates and training incentives are communicated to internal and external delegates.
  16. Ensure that all paperwork from completed courses is quality assured and scanned into the "Completed Courses" library.
  17. Ensure all certificates from completed courses are quality assured and added to internal systems (e.g., Certificate Database) and external databases (e.g., Smart Awards / NOPS) and held on record.
  18. Manage the fulfilment of training requirements for new Circet employee and contractor onboarding processes.
  19. Represent the Academy at demonstrations, shows, and industry events (e.g., MATS Conference, The Health and Safety Event, Connected Britain, Circet Safety Week).
  20. Ensure all training Audits are logged on the Audit Register and all Non-Conformances are recorded on the NCR Register and effectively closed out with suitable actions to prevent a recurrence.
  21. Ensure that the Circet Training Needs Analysis is reviewed every 12 months with required parties and (where required) any updates are captured in SiteLive and communicated.
  22. Ensure that internal systems (e.g., SiteLive) details are accurate, up to date, and accessible for all employees and contractors, including Training Requirements, Job Disciplines, and Training Profiles.
  23. Ensure that the schedules for the Training Function and Training Centre remain accurate and up to date at all times.
  24. Support with the management of the Training Centre accreditation schemes (e.g., EUSR, IOSH, CITB, Smart Awards) to ensure they are achieved and remain valid and in date.
  25. Be a part of and support any Management System Audits for the Training Centre / Training Function.
  26. Act as an Emergency and Wellbeing Responder (EWR) for the Training Centre, including the completion and recording of:
  27. Weekly Fire Alarm Call Point Tests.
  28. Monthly Emergency Lighting Short Duration Tests.
  29. Monthly Legionella Checks (Including Water Temperature Checks and Water Component Flushing Checks).
  30. Monthly EWR Checklists.
  31. Ensure that the marketing of the Training Centre / Training Function remains accurate, in date, and compliant with Circet Requirements.
  32. Other duties as reasonably assigned.
