Job description

UHNW couple is looking for a Personal Assistant to manage their daily lives and family office. This is a great opportunity to support two tech entrepreneurs who are looking for a long-term hire! You will provide high-touch, comprehensive support to the Principals by handling personal errands and tasks, organizing travel, planning events and social gatherings, and overseeing the housekeeping team. The ideal candidate has experience supporting a UHNW household, is skilled at anticipating needs, and demonstrates a willingness to tackle any task. This primarily onsite role is based at their residence in Woodside, with flexibility as needed to be available on weekends. Occasional travel with the Principals may be necessary. 120-130K+ DOE + benefits!

Responsibilities:
  • Provide proactive administrative support and handle all communication promptly and professionally.
  • Provide personalized support to meet daily and travel-related requirements and preferences of the Principals.
  • Coordinate travel arrangements and itineraries working alongside travel agency.
  • Handle personal tasks and errands for the Principals, such as scheduling appointments, mail/package retrieval and returns, shopping, picking up dry cleaning, gift purchasing, and wrapping.
  • Assist with planning and organizing special events, dinners, parties, and gatherings.
  • Organize and maintain confidential information and documents for the Principal and family office.
  • Support the smooth running of the household in coordination with the Principals and other household staff.
  • Oversee the housekeeping team to ensure daily tasks are completed to a high standard and in line with the Principals' preferences and requirements.
  • Provide assistance with special projects and initiatives as assigned.
Qualifications:
  • 2+ years of experience in a similar role, preferably supporting UHNW individuals/families or executives.
  • Experience working in hospitality or the personal service industry is a plus!
  • Excellent communication skills, organizational abilities, and attention to detail.
  • Strong time management skills and comfortable with changing priorities and last-minute requests. Proficient with multitasking and prioritizing tasks effectively.
  • Operate with a positive, ‘no task is too small’ mindset.
  • Ability to quickly build rapport and demonstrate high emotional intelligence, intuitively reading the room and various scenarios.
  • Demonstrate a high level of discretion and commitment to preserving privacy and confidentiality.
  • Team player with a focus on collaboration and shared success.
  • Operate with a 24/7 mentality and be flexible to work with a fast-paced schedule.
  • Tech-savvy with proficiency in Google Workplace and various project management tools.
