The Role
The Property Coordinator plays a key role in supporting the Property team with Health & Safety compliance, repairs and maintenance, and general property management across Lush's UK and Ireland stores & offices. This role ensures that all properties are maintained to the highest standards, compliant with regulations, and aligned with Lush's ethical values. The Property Coordinator will also provide administrative support and cover various team inboxes when required.

Key Responsibilities
Health & Safety Support
- Compliance & PPM Records: Maintain records of Planned Preventive Maintenance (PPM) and seek alternative quotes for necessary works.
- Fire Risk Assessment: Action and coordinate repairs from fire risk assessments.
- Shop Audits: Conduct in-person or virtual shop audits, ensuring compliance with safety standards and identifying areas of improvement.
- Training Records: Maintain and update training records related to H&S.
- Holiday Inbox Cover: Provide coverage for the H&S inbox during holidays, ensuring timely responses.
Maintenance Support
- Planned Preventive Maintenance (PPM): Track compliance and maintain records of all PPM activities.
- Documentation: Save, link, and update the compliance maintenance tracker with all relevant documents.
- Follow-up Works: Identify, field out, and request quotes for follow-up works, ensuring multiple quotes are obtained when required.
- Completion Tracking: Ensure all follow-up works are completed within a timely manner, properly documented, and communicated to relevant stakeholders.
- Inbox Coverage: Manage the maintenance inbox when team members are on leave, ensuring continuity of service.
- Property Guide Updates: Regularly update the maintenance sections of the Property Guide.
- Condition Register: Maintain and update the Maintenance Condition Register for all properties.
Property Support
- Meetings & Training: Assist in planning and organising team meetings and training sessions.
- Inbox Coverage: Cover the UK property email inbox when necessary, arranging landlord visits and handling property issues.
- Triage Property Issues: Speak to shop teams to assess property-related issues, determining whether they require landlord intervention or can be resolved internally.
- Document Organisation: Manage the administration and organisation of key property documents.
Waste & Recycling
- Issue Resolution: Act as the point of contact for waste and recycling issues when the relevant team member is unavailable.
General Support
- Provide any additional support required to ensure the smooth operation of the Property team.
Skills, Knowledge and Expertise
Skills & Qualifications:
- Strong organisational and administrative skills.
- Experience in property coordination or facilities management.
- Excellent communication skills, both written and verbal.
- Ability to work collaboratively and handle multiple tasks efficiently.
- Proficient in Google suites.
- Knowledge of health and safety regulations.
