Job description

Location: Based in Webb Ellis House, Twickenham

Hours: Full-Time

Women’s Rugby World Cup England 2025 (Women’s RWC 2025) will be the 10th edition of the women’s tournament. World Rugby, in partnership with the Rugby Football Union (RFU) and UK Sport, have formed a Local Operating Company to plan and deliver the event.

Ambitions for the tournament are at an all-time high as women’s rugby is one of the fastest growing team sports in the world. Women’s RWC 2025 will be the ultimate stage for the best players, teams and coaches from 16 nations across the globe and is set to be the biggest and most widely watched women’s rugby event ever. This role will report to the CCW Manager and will support planning across the Catering, Cleaning and Waste (CCW) Functional Area (FA). During Tournament time, the role will be based in Webb Ellis House, but there may be a requirement to travel to venues to support with the delivery of CCW operations.

TASKS AND RESPONSIBILITIES
  • Assist the CCW Manager in cross-functional, tournament-wide project planning to ensure that key tournament deadlines are met. Represent the CCW Functional Area’s interests as required during project execution.
  • Support the CCW Manager with various administrative tasks, such as creating agendas, organising and hosting meetings, recording meeting minutes, and monitoring action trackers. Additionally, help with the creation of tournament time manuals, centralizing information, and distributing important messages to the wider division.
  • Develop and manage plans and processes to ensure the delivery of essential items to venues, including water, isotonic drinks, ice, and laundry.
  • Oversee the Contractor Catering Programme, designing and implementing the ordering system, producing meal vouchers, and developing a distribution plan to ensure efficient catering operations during the tournament.
  • Assist in the onboarding process for tournament services coordinators and volunteers.
  • Support the development of sustainable practices across catering, cleaning, and waste management, ensuring that venue cleaning, waste management, and sustainability practices align with tournament objectives and requirements.
EXPERIENCE & KNOWLEDGE
Essential
  • Excellent communication, relationship building and stakeholder management skills.
  • Excellent organisational and administrative skills, with strong IT skills including MS Office (Word, Excel, PowerPoint).
  • Experience in event planning, a relevant qualification or other relevant experience in catering, cleaning and waste sectors.
  • Experience in a fast-paced environment supporting multiple individuals across a varied portfolio of responsibilities.
  • Track record in taking accountability for delivery against fixed timeframes and specific project deliverables.
Desirable
  • Experience in a role within a major sporting event landscape that involved planning for catering, cleaning & waste functional area.
  • Demonstrable success in supporting senior managers.
  • Experience of managing external suppliers to deliver successful event operations.
