EA to CEO – temp to perm

Boutique investment firm, offices near Fenchurch Street

ASAP start

£80 - £100k per annum

A really exciting opportunity has arisen for a polished and articulate EA to support the CEO of a boutique investment firm, with offices near Fenchurch Street.

Opportunities at this level don’t come around often and this could just be your next long-term career move!

The CEO is looking for a highly-motivated and detail-oriented EA to become her true right-hand support and eyes and ears of the company! This role will include the opportunity to travel twice a year, for around 3 days at a time and although office based 5 days a week from the beginning, there can be flexibility on this in time as trust and relationships are built.

WHAT YOU’LL DO:

  1. Coordinate and manage CEO’s calendar, including both internal and external meetings and liaise with senior stakeholders across international time zones.
  2. Arrange complex domestic and international travel including passport renewals, visa applications and detailed itineraries.
  3. Receive and filter telephone communications, screening calls for the CEO to ensure her time is protected.
  4. Arrange overseas offsites from start to finish and attend in-person twice a year.
  5. Prepare expense reports, compliance documentation and ensure sensitive deadlines are met.
  6. Take the lead on projects and research as and when needed.
  7. Carry out the administrative management of mail.
  8. Help with the management of expense reports and reimbursements.
  9. Provide assistance as needed to front desk operations/receptionist (answering phones, accepting packages and other deliveries, lunchtime relief, and greeting and signing in visitors/guests).

WHO YOU ARE:

  1. Experience of supporting at C-Suite level, within financial services is required, alongside working in high-pressure environments requiring tact, judgment and discretion.
  2. Experience of managing diaries for C-Suite, with meetings across international time-zones and frequent last-minute changes and shifts in priority.
  3. Perfect English communication skills, both written and verbal.
  4. Education to degree level is preferred.
  5. Ability to apply common sense to carry out duties and manage sensitive issues quickly, delicately and professionally.
  6. High proficiency with Microsoft Office applications such as Microsoft Outlook, Word, Excel, and PowerPoint.
