Job Description:

The Ely Diocesan Board of Finance (EDBF) is seeking an individual to act as Operations Support Team Administrator – Vocations, Discernment, Selection and IME2 (Mission and Ministry) to provide administrative support to the Ordained Ministry Pathway Team.

The role – General tasks

  1. Providing administrative support to the Ordained Ministry Pathway Team, under the line management of the Deputy Director of Mission and Ministry.
  2. Processing paperwork and arranging meetings for candidates exploring their vocation in a timely manner, ensuring efficient running of the discernment process.
  3. Ensuring a smooth transition for candidates between different parts of the process.
  4. Arranging and attending meetings; taking minutes as required.
  5. Providing administrative support to ensure the smooth and efficient running of the team.
  6. Dealing with incoming and outgoing correspondence.
  7. Providing administrative support for yearly ordinations, including the Ordination service and the pre-ordination retreat.
  8. Performing any other duties appropriate to the role as reasonably required.

Specific tasks

  1. Managing the diary of the Diocesan Director of Ordinands (DDO) and Curate Training Officer.
  2. Collating and submitting papers for all candidates as required.
  3. Ensuring the DDO and Bishop’s office have all required information for meetings with vocations candidates in a timely manner, as documented in the procedure, and liaising with candidates and the team of Assistant DDOs as required.
  4. Supporting the organization of the Ordination service including ticketing, photographer, car parking, and disabled access, liaising with ordination candidates, the Diocesan Registrar, Bishop’s Office, and Cathedral.
  5. Supporting the organization of the pre-ordination retreat, liaising with the retreat centre and retreat leader.
  6. Organizing meetings, preparing and circulating agendas and attendant papers, and producing minutes.
  7. Booking and organizing external events as required.
  8. Liaising with the Finance Department to ensure the efficient administration of Diocesan grants for ordinands.

Your experience and skills

  1. Excellent secretarial skills and a high standard of competence in Microsoft Office suite of programs.
  2. Friendly, approachable, and professional demeanor.
  3. Exceptional attention to detail and accuracy with written material, e.g., spelling, punctuation, grammar, and arithmetic.
  4. A proactive approach to problem-solving.
  5. A high level of confidentiality.
  6. The ability to prioritize workload.

Terms and Conditions

  1. Working hours: full-time (35 hours per week), within a standard 9am-5pm, Monday-Friday. There may be some evening and weekend work as necessary with time off offered in-lieu.
  2. Location: Flexible, with time in the Diocesan Offices (Ely) to be agreed.
  3. Contract: Full time (subject to the successful completion of a 3-month probation period).
  4. Employer: Ely Diocesan Board of Finance.
  5. Pension: Membership of The Church Workers Pension Fund (non-contributory).
