Job description

We are looking to recruit a medical secretary working 18 hours a week based at Manor Park Surgery, Bramley, Leeds (initial training to be based at Manor House, Pudsey, LS28). The required days for this role are Monday, Tuesday and Friday or Monday, Thursday and Friday.

Main duties of the job

To provide an efficient, comprehensive secretarial and administrative support service to the practice, and to undertake these duties without direct supervision, working within broad procedural guidelines.

About us

Manor Park Surgery is a GP surgery based in Bramley, Leeds. We are a four GP partner training practice serving a population of 14,000 patients, and we use SystmOne. We offer training for medical students, nursing students and GP registrars. We are a forward-thinking, multi-disciplinary team and we work supportively with our patient-facing Care Navigation and administration team.

Manor Park Surgery is an active member of the West Leeds Primary Care Network.

Job responsibilities

  1. To prioritise all incoming correspondence and distribute or process as necessary.
  2. To type, from patient records, electronic and audio devices, all letters required.
  3. Ensure SystmOne address book, templates and pathways relating to referrals and providers are up to date.
  4. Use e-referral (Choose and Book) service for referrals and advice.
  5. Manage work lists on e-referral service.
  6. To enter correspondence onto the Patient records as and when required utilising the appropriate read codes.
  7. Ensure that all urgent and 2 week wait referrals have been received by the recipient.
  8. Respond to any patient queries relating to an existing referral.
  9. Liaising with other healthcare providers regarding issues relating to existing referrals/letters and queries the clinicians may need resolving.
  10. To communicate and liaise between all disciplines of staff as required.
  11. Maintain any personal correspondence files as required by Practices.
  12. Perform any reasonable administrative tasks as requested.

Person Specification

Qualifications

  • GCSE Grade A-C in English and Maths.
  • Audio typing RSA stages III word processing or similar.
  • Experience of using own initiative.
  • General office experience.
  • Experience of dealing effectively with the general public.
  • Experience of making efficient use of booking systems to ensure appropriate use of appointments by patients.
  • Working knowledge of medical terminology.
  • Local knowledge of the healthcare system.
  • Working knowledge of local health and social care providers.
  • Excellent written and oral communication skills.
  • Ability to work under pressure while maintaining a positive professional attitude.
  • Ability to work as part of the team.
  • Ability to type at a fast speed.
  • Excellent attention to detail and accuracy.
  • Previous medical secretary experience.
  • Experience of using SystmOne.
