  • Role Type: Full-time, permanent.

  • Location: This role is available in our Global Headquarters in Cambridge.

About the Role

In recent years, our Technical Operations (TechOps) team has heavily invested in advancing the company's technology infrastructure and building a community of passionate IT professionals who strive for superior standards, beyond those of a traditional IT department. With the continued growth of Costello Medical and the TechOps team, we are seeking a Senior IT Administrator who will bridge the gap between our small group of IT Administrators and the management team. In this role, you will be responsible for independently crafting bespoke solutions, designing and delivering projects, overseeing the day-to-day administration of junior colleagues, and ensuring all technical administration aligns with company standards.

Key Responsibilities

  • Delivering exceptional daily system administration and serving as a point of escalation within the team, designing tailored solutions and IT-related communications that fit our unique requirements.
  • Proactively proposing and implementing improvements to IT processes.
  • Designing, delivering, and overseeing the business impact of a wide range of technical projects.
  • Writing, updating, and maintaining IT documentation.
  • Supporting the career development and growth of junior colleagues, which may include onboarding new team members, identifying training needs across the team and delivering training.
  • Building and maintaining an effective supplier network to ensure the company receives optimal service.
  • Acting as a conduit between the TechOps team and the wider company, developing strong working relationships with others.

Hybrid Working Policy: We recognise that home-working can improve work-life balance, reduce commuting times and costs, and provide the opportunity to juggle personal commitments. At the same time, we believe that having face-to-face time in the office holds many benefits and is central to ensuring that the community we have created, where people have a workplace they belong to and feel part of, is never lost.

Therefore, we offer flexible working arrangements that allow our colleagues who have passed probation to work from home for up to half their time, measured across a 2-week rolling period. During your probationary period (normally the first 6 months of the role), you will be able to work from home 1 day per week.

Requirements

About You

We are seeking a highly motivated and proactive individual eager to work within a strong team to deliver major projects and continuous improvements to IT services. You will enjoy building relationships with customers and managers across the company, communicating IT changes to non-technical audiences, and confidently advocating for new ideas and solutions. You will have a strong sense for business impact and be able to sign off on project work with minimal oversight, seeking advice from IT management as required.

This role is therefore ideal for someone ambitious and ready to take on significant responsibility, working closely with IT management to shape their own career and make a substantial impact on the team and Costello Medical.

Essential Requirements

  • 3 to 5 years of experience in an IT-related role, with at least 2 years in system administration specifically. This includes user identity/account/access management, device management, account security, SaaS configuration, as well as process and change management.
  • An in-depth understanding of the Microsoft technology stack, including Windows, 365, Office, Endpoint Manager, Entra ID, Exchange Online, Teams, Defender, Conditional Access, and more.
  • A track record of independent working, self-motivation, and proactively seeking the support needed to succeed.
  • Experience leading and overseeing IT-related projects, paying close attention to risks, progress, communication, and documentation requirements to ensure timely and comprehensive project delivery.
  • The ability to get the best out of a team; this includes proven experience supporting, challenging, delegating to, and supervising others, delivering clear communication on tasks, project requirements and expectations, as well as inspiring confidence in others.
  • A "can do" approach, and the initiative, positivity, and creativity to continually improve processes.
  • A results-driven mindset, with a productive drive to get tasks completed efficiently and effectively.
  • Excellent organisational skills and the ability to prioritise your own time effectively, managing conflicting and changing demands.
  • Familiarity with industry-standard IT policies and processes.
  • Experience developing clear technical and user-facing documentation.
  • Excellent written and verbal communication, including the ability to communicate confidently and professionally to both technical and non-technical audiences.
  • Experience building relationships with key stakeholders across the business, as well as third parties.

Desired Requirements

  • A degree-level or higher qualification (minimum 2.1 or equivalent) in an IT-related discipline.
  • Experience working with cloud storage solutions.
  • Experience supporting critical IT administration processes.
  • Experience administering IT hardware (procurement, configuration, returns, disposal, etc.) and maintaining an asset database.

Benefits

Costello Medical is a rapidly growing global healthcare agency specialising in medical communications, market access and health economic and outcomes research. Our vision is to be a leading global partner consistently striving for meaningful and outstanding contributions that improve people's health and lives.

We strongly recognise the importance of IT talent and believe we offer a unique opportunity for you to build a long-term career with us.

  • Just the fun bits of IT: We outsource technical support and infrastructure administration to an MSP, which allows our TechOps team to focus their time on supporting their colleagues and contributing to exciting new projects that optimise IT operations and improve the user experience.
  • Grow your skills at the cutting edge: We are continuously improving our systems; over the past few years, we have stripped out much of our existing infrastructure and implemented innovative cloud-based solutions. In this role, you will gain valuable experience with cutting edge technologies, and will have the opportunity to lead the implementation and adoption of new technologies.
  • Users who respect and value you: Our TechOps team do not provide frontline support. Since employees aren't approaching us with problems and complaints, it's easy to build positive, trusting and respectful relationships with them. As a Senior IT Administrator, you will feel like a valued and integral part of the company.
  • A truly varied role: You will have opportunities to work in IT security, information governance, IT infrastructure, projects, development, technical writing, and much more. As the company's technological needs are always changing, there are always new opportunities available.
  • We are invested in our culture: We are committed to our company values which promote a fun, friendly and innovative workplace in which we strive to deliver the highest standards of quality. As a result, we have been listed in The Top 100 Companies to Work For list for six consecutive years, and achieved B Corporation certification in 2022. These values are embraced within the entire company, including the TechOps team.
  • Have your say and shape your own career: Given we outsource a lot of our IT, our internal team is relatively small. Your voice matters; you will have a significant influence on team decisions, and can choose the technical areas you would like to specialise in. You will be encouraged to take your career in a direction that challenges you to meet your own goals.
  • Contribute towards something bigger than IT: Our customers are some of the industry's most successful pharmaceutical and medical technology companies, patient and public health bodies, and charitable organisations. You can learn more about what we do here: https://www.costellomedical.com/what-we-do/. As a company, we are committed to improving healthcare globally, and by supporting the continued development of our IT infrastructure, you are directly contributing towards this commitment. You will also be supporting a company that believes in corporate and social responsibility, and will be able to give back to the local community through funded volunteering and pro bono days.

The Recruitment Process

Our recruitment process includes a telephone interview with a member of the Talent Acquisition team, followed by an assessment for you to complete in your own time. If successful, you will be invited to an interview with senior members of our TechOps team, which also includes a collaborative problem-solving exercise. Our standard recruitment process typically lasts around 2 to 3 weeks, however this can be adapted if necessary.

As an equal opportunity employer, we are committed to fostering a diverse and inclusive workforce and, throughout the recruitment process, there are a number of reasonable adjustments we can provide. Please click here to read more about this and contact the People Team via recruitment@costellomedical.com should you require reasonable adjustments at any stage.

This role will ideally commence on Monday 2nd December 2024. However, we can also consider applications from those seeking a deferred start date in 2025. You will be asked to state your availability on your application form. Whilst there are no set application deadlines, we strongly recommend applying as early as possible so that we can begin processing your application, as the role will close when a suitable candidate is found.
