Responsibilities:
- Efficiently manage the executive's calendar, scheduling appointments, meetings, and travel arrangements.
- Coordinate and organize meetings, including preparing agendas, taking minutes, and distributing relevant documents.
- Facilitate effective communication between the executive and internal/external stakeholders, including clients, partners, and employees.
- Prepare and edit correspondence, memoranda, reports, documents, forms, tables and presentations on behalf of the executive.
- Conduct research and compile data to support decision-making processes.
- Handle confidential and sensitive information with the utmost discretion and integrity.
- Anticipate the executive's needs and proactively address any potential issues or conflicts.
- Monitor and prioritize incoming requests from the executive and other stakeholders.
- Assist with the organization and coordination of company events (both onsite and remote, including 3rd party contracts, catering and IT requirements) and special projects.
- Undertake additional administrative tasks, such as filing, record-keeping, and expense management, as required.
- Cooperate and coordinate with executive assistants in other business units to facilitate calendar management and workload balancing.
Requirements:
- Good knowledge of company operations, policies and procedures.
- Proven experience as an executive assistant or in a similar role is preferred.
- Exceptional organizational and time management skills, with the ability to multitask and prioritize effectively.
- Strong written and verbal communication skills, with a keen eye for detail and accuracy.
- Proficient in Microsoft Office Suite and other relevant software applications.
- Ability to maintain confidentiality and handle sensitive information with professionalism and discretion.
- Excellent problem-solving and decision-making abilities.
- Strong interpersonal skills, with the ability to build relationships and communicate effectively with individuals at all levels.
- Flexibility and adaptability in a fast-paced and dynamic work environment.
- Ability to lead and provide task assignments and direction to other administrative or clerical personnel.
