About the Role:
We are seeking an experienced and dynamic Office Manager to oversee the smooth running of our London office. This key role combines administrative oversight, team support, and the management of office operations, ensuring an organized and productive work environment.
During the probation period, you will be expected to work four days a week in the office (Monday to Thursday) to facilitate onboarding and integration with the team. Once the probation period is successfully completed, a hybrid working arrangement will apply: three days in the office (Tuesday to Thursday) and Monday and Friday working from home.
Key Responsibilities:
Office Operations:
- Manage day-to-day office operations, ensuring a clean, safe, and functional workspace.
- Liaise with vendors, suppliers, and building management for office maintenance, supplies, and services.
- Coordinate IT and office equipment needs, ensuring smooth operation and resolving issues promptly.
Administrative Support:
- Oversee administrative tasks such as filing, scheduling, and correspondence.
- Support senior leadership with diary management, meeting preparation, and travel arrangements.
- Process expense reports and invoices in collaboration with the finance team.
Team Coordination and Events:
- Act as the first point of contact for staff inquiries related to office policies and resources.
- Plan and manage team events, including celebrations, social gatherings, and company-wide meetings.
- Ensure the office is always stocked with snacks, drinks, and other refreshments to create a welcoming environment.
Health & Safety Compliance:
- Ensure the office complies with all health and safety regulations.
- Conduct regular risk assessments and maintain related documentation.
Culture & Environment:
- Foster a positive and inclusive office culture.
- Act as a champion for employee engagement and well-being initiatives.
Required Skills and Experience:
- Proven experience in office management, administration, or a related role.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency in office software
- Ability to multitask and adapt in a fast-paced environment.
- Knowledge of UK health and safety regulations (preferred).
- Experience managing budgets and supplier relationships (a plus).
