Job description

A Good CQC rated GP Surgery in Scarborough is looking to hire an Office Manager to join its team on a permanent basis. The practice is open to either full-time or part-time hours but are requiring a minimum of 30 hours p/week. The ideal candidate will have experience of primary care and be willing to play an important role in the development of patient centred services.

Job Duties:

  1. Providing supervision, support and training to the reception/administration staff under the guidance of the Practice Manager.
  2. Ensuring that reception is adequately staffed and supervised and that staff rota, including annual leave and sickness cover, are in place. Arranging locum cover required to cover clinicians in agreement with the Practice Manager.
  3. Supporting the Practice Manager in ensuring that the Practice runs smoothly and efficiently. Liaising with the Practice Manager on any organisational problems in the office/reception, including any untoward incidences or near misses. Handling informal complaints from service users through to completion of formal complaints and Gallagher forms.
  4. Support the Practice in meeting targets detailed in Quality and Outcomes Framework (QOF), Enhanced Services (ES), Contract Key Performance Indicators (KPI), CQC requirements, ICB/PCN requirements, knowledge of CQRS etc.
  5. To be responsible for the maintenance of the appointment system.
  6. Responsible for logging problems with the computer system, premises etc. ensuring risk assessments and business continuity are updated accordingly.
  7. Preparation and submission of data and documentation as required to relevant bodies in a timely manner.
  8. Facilitate the responsibility for the daily task of completing all GP Links data, input and uploads. (Patient data and EDI). Collection of Medical records. Summarising of medical records. Ensuring completion.
  9. Facilitate and delegate requests for medical reports and copies of medical records from outside agencies in line with the procedure put in place. Ensuring 28 day timeframe is adhered to.
  10. Occasionally scanning medical information into patient’s records and entering medical data using the method of READ coding ensuring no back log.
  11. Sorting of incoming post and distribution as appropriate.
