Your new company
My client is a health-based research charity based in the heart of London. They are looking for an Executive Assistant to cover sick leave on an interim basis, until the end of May 2025. This role is office based in Central London with easy transport links. My client is looking for a fast and reliable EA to manage the director's diary, emails and high travel arrangements. If you are a senior-level Executive Assistant with experience in the charity field, this could be the role for you!

Key Duties:
  1. Prepare documents for the Director, including correspondence, reports, minutes, briefing notes and other papers and preparing presentations.
  2. Briefing Directors ahead of meetings, visits and meetings.
  3. Preparing papers for the Division for submission to the Executive Board and Board of Governors.
  4. Organising meetings at divisional level, including meetings of the senior management team and external parties.
  5. Arranging travel and meetings of the Director.
  6. Process expenses and invoices.
  7. Diary management, organising meetings and appointments.
  8. Email management.
  9. Assist in the preparation of papers for internal and external meetings, attending such meetings and producing minutes, action logs or programme documentation.
  10. Office management; ordering furniture, stationery, inductions.
  11. Work with other administrators in your ELT unit to ensure that sufficient cover is available when colleagues are absent and that surge capacity is available at times when particular teams have higher than usual and business-critical needs.
  12. Contribute to a diverse and inclusive culture across the organisation, collaborating across departments.
  13. Exercise cost control and seek approval for expenditure to ensure we work within the agreed operating budget.
  14. Ensure adherence to our compliance policies.
  15. Undertake any other work that may be reasonably required from time to time.
What you'll need to succeed:
  1. EA / Office Management experience.
  2. Advanced IT Skills - excellent working knowledge of Microsoft Office software, including SharePoint.
  3. Calendar management.
  4. Able to draft correspondence.
  5. Assertive and able to influence with the ability to deal with people at all levels.
  6. Good written and verbal communication skills.
  7. Good organisation and project management skills.
  8. Able to work on a number of tasks simultaneously.
  9. Methodical and organised approach to work with very high attention to detail.
  10. Ability to deal professionally with confidential materials and issues.
  11. Tactful and personable.
  12. Ability to multitask, prioritise, take initiative and work to deadlines.
  13. Able to address conflict and take decisions.
