About the role:
The Accounts Payable (AP) team is tasked with ensuring the accurate and timely processing of all operational expenses across the various LSM legal entities. In response to the growing demands of the business, the newly established Accounts Receivable (AR) role within the Accounts Payable (AP) team has been created to facilitate the management of intercompany relationships and streamline this process effectively.
Key responsibilities:
- Creation of invoices for GTS legal fees: Raise, enter, and process all Accounts Receivable (AR) invoices into SAP, ensuring the accurate assignment of GL code and cost centres. Liaise with the business as necessary to obtain relevant information.
- GTS legal fee receipts: Confirm the receipt of legal and break fees into LSM operational bank accounts, ensuring compliance with strict SLA timeframes.
- Credit control support: Collaborate with brokers, underwriters, and LSM branches regarding overdue invoices, issuing Credit Control letters as appropriate.
- Reconciliations: Prepare detailed monthly reconciliations for Intercompany Accounts and Legal Fees, including matching legal fee invoices issued to recoveries and clearing them in SAP. Produce monthly aged debt reports related to legal fees, ensuring timely submission within month-end reporting deadlines.
- Accounts payable support for LSM GTS team: Raise and process invoices in Concur, monitoring them through to payment to ensure timely disbursement to suppliers. Provide payment status reports to relevant stakeholders. Enter legal fee payment updates into Salesforce. Update Decision Focus monthly and quarterly with GTS legal fee data for review by the Tax Team.
- Corporate card management: Processing of new CC application requests ensuring all necessary acceptance criteria is met. Monthly reconciliation of unsubmitted CC transactions within the expense system (Concur), chasing up O/S transactions and blocking cards as necessary. Cancellation of corporate cards for departing employees.
- Monthly expense reporting: Download and analyse expense data from Concur/SAP and distribute to teams within LII.
- Intercompany invoices: Process the monthly UK recharge invoices for Australia in SAP and coordinate quarterly payments.
- Creation of Spanish allocation invoices: Produce monthly invoices for the Spanish branch utilizing the allocations spreadsheet provided by the Tax Team. Covering the creation of new suppliers and approving expenses when colleagues are on leave. Facilitate treasury payment approvals as required.
The successful candidate will have the following areas of competence:
- Solid working knowledge of Microsoft Word, Excel, Power Point and Outlook.
- A good knowledge & understanding of an Accounts Receivable (AR) function with proven experience.
- Strong communication and influencing skills.
- Ability to problem solve.
- Ability to independently manage and multitask workload.
- Ability to prioritise and deliver within defined timeframes.
- Good organisation skills.
