An exciting opportunity has arisen within the Surgical division for a Ward Receptionist to work in our Elective surgical Ward - Urology Services. The successful candidate will work closely with the multi-disciplinary team (nurses, medical team, allied health professionals) to ensure patients on our ward receive the highest standard of care and have a positive experience whilst supporting flow through the Hospital.

We are looking for a Ward Receptionist who can work 24 hrs per week over two days as part of a job share to cover our reception area (Thursdays to Saturdays) - to include some weekend working. Shifts will be covered mainly Thursday and Friday covering 08:00am – 16:30pm, with some flexibility in days to be discussed at interview.

This role requires someone who can work pro-actively and has excellent communication and organisational skills. The successful candidate must be able to work well under pressure due to the role having competing demands at times. The post holder will need to be computer confident and be willing to undertake training to be self-reliant in using multiple NHS applications.

Main duties of the job

  • To receive and admit patients using the relevant computer systems
  • To undertake routine clerical work and associated tasks
  • To receive telephone enquiries and deal with them in a prompt, professional manner to ensure accurate information is disseminated to designated parties
  • To arrange ambulance transport for patients as required
  • Ad hoc ordering from the Procurement system including equipment, PPE, and documents required for the ward.
  • General stocking.

Detailed job description and main responsibilities

  • To accurately register patients and maintain computerised records to ensure all records are complete and scan paper documents once the patient has left the department
  • To maintain medical records by ensuring that all contents are correctly filed in the appropriate place
  • To assist with distressed/bereaved relatives
  • To respond quickly to changing situations and prioritise workload with a view to resolving problems within limits
  • Deal with enquiries from police according to Trust protocols and the Data Protection Act, ensuring confidentiality is maintained at all times
  • To liaise with staff in other departments as required
  • To provide ad hoc information and support to other staff when required
  • To provide information to medical staff when requested
  • To assist in the training of new members of staff to ensure all staff can carry out their role competently
  • To be fully trained and competent to respond to a major incident alert
  • To have a flexible approach to help provide cover for colleagues to ensure that the reception desk has cover for holidays and sick leave
  • To maintain confidentiality and adhere to the Data Protection Act at all times
  • To undertake any other such duties commensurate with the post
  • Communicate with the Multidisciplinary team internal and external with regards to the discharge and transfer of patients.
  • Request services for the ward e.g., contact General porters and report faults with Facilities.
  • Take messages from the Multidisciplinary team and pass them on to relevant team members.

Person specification

Education/Training/Qualifications

  • GCSE level education or equivalent
  • Hospital administration computer systems training

Work Experience

  • Experience of working with members of the public
  • Experience of working in the NHS

Knowledge/Skills/Abilities

  • Computer and keyboard skills
  • Good communication skills and telephone manner
  • Prioritisation of workload
