About the Role:

We are seeking a highly organized and dynamic individual to join our team in Norwich, UK, as a Talent Acquisition & Operation Manager. This multifaceted role will be the heart of our Norwich office, responsible for ensuring smooth day-to-day operations, managing the full recruitment cycle, and fostering a positive and engaging work environment. You will play a crucial role in supporting our growing team and maintaining our vibrant company culture.This role offers a fantastic opportunity to grow and develop within the HR function at Glassbox, with potential for increased responsibility and specialization as the company expands.

What you will do ?

  • Talent Acquisition:
    • Manage the full recruitment lifecycle, from initial kickoff meetings and sourcing candidates to conducting interviews, managing the candidate experience, and coordinating offers.
    • Utilize Greenhouse (our ATS) to track and manage all recruitment activities.
    • Build strong relationships with hiring managers to understand their needs and ensure a smooth hiring process.
    • Conduct reference checks and manage onboarding paperwork for new hires.
  • Office Management:
    • Oversee all aspects of office operations, including vendor management, building administration, contract renewals, and ensuring compliance with health and safety regulations.
    • Maintain a well-organized and efficient office environment, managing supplies, equipment, and cleaning services.
    • Handle reception duties, including welcoming guests and managing deliveries.
    • Manage the Norwich office credit card and assist with finance-related tasks, such as processing invoices, expense management, and cheque deposits.
    • Support US administration, including managing Regus office spaces, storage facilities, swag distribution, and postal services.
  • Employee Lifecycle Management:
    • Manage employee onboarding and offboarding processes, including IT setup and HR documentation.
    • Serve as a point of contact for employees regarding HR-related queries, vacation tracking, and other administrative needs.
    • Liaise with IT and HR teams to ensure seamless employee transitions.
  • Global Wellbeing Initiatives:
    • Plan and execute a variety of office events and activities, including weekly happy hours, seasonal celebrations, team-building activities, and company-wide events.
    • Manage event budgets, vendor negotiations, and logistics.
    • Support global wellbeing initiatives, such as Pride, International Women's Day, and other global events.
    • Manage employee gifting platform.
  • Travel Management:
    • Manage travel arrangements for UK and US employees, including flight and hotel bookings.
    • Oversee travel approvals, invoice processing, and expense reports.
    • Serve as the primary point of contact for all travel-related queries.
What you will need ?

  • 2+ years of experience in office management/operations.
  • 1+ year of experience in talent acquisition/recruiting.
  • Excellent interpersonal and communication skills (written and verbal).
  • Strong organizational skills and the ability to manage multiple projects and priorities effectively.
  • Ability to work cross-culturally and cross-functionally.
  • Proficiency with Microsoft Office Suite.
  • Experience with Greenhouse (or other ATS) is highly preferred.
  • Experience managing travel arrangements is a plus.
