Job description

Principal Duties and Responsibilities

Servisource, part of the Cpl group, are seeking to recruit a part-time Bookings Coordinator to join our existing Central Support Care Services (previously Out of Hours) team.

The Bookings Coordinator is responsible for managing all aspects of out-of-hours agency staffing operations, in addition to daytime cover when requested. Working in a lone environment, the individual is required to place the right staff members with our clients for agency shifts, both in healthcare facilities and in the community.

Out-of-hours operations are defined as work completed that occurs outside of office hours i.e. Monday to Friday 4:30pm – 10pm, Saturday to Sunday 7am – 10pm. Daytime operations are defined as work completed that occurs during office hours i.e. Monday to Friday 9am – 5pm.

The successful candidate is outgoing, personable and a problem solver with a positive, enthusiastic attitude. The ideal candidate will be flexible to take on additional evening or daytime shifts when requested outside of the scheduled rota. This job is fast paced and would suit someone who enjoys a challenge and working with others to achieve optimum results and high calibre staffing solutions for our candidates.

Duties of the role include but are not limited to:
  1. Responsible for managing all aspects of out-of-hours agency staffing operations, particularly across Healthcare & Homecare divisions, in Republic of Ireland and UK.
  2. Responsible for managing daytime agency staffing operations when cover is requested by Healthcare or Homecare divisions.
  3. Adequately filling all vacant shifts in a timely manner and coordinating with staff and clients effectively.
  4. Adequately and swiftly filling unforeseen sick leave and staff no shows in timely manner. Ensuring all communication with clients, staff and service users is recorded correctly on the respective system.
  5. Answering the phone in a swift and timely manner and ensuring all communication is recorded correctly on the respective system.
  6. Dealing with payroll queries from staff and liaising with our Payroll Department to deliver an outcome for the query.
  7. Ensuring that all systems are being used to full capacity and that all contact with client and temp are logged adequately.
Requirements:
  1. Minimum of 1-2 years’ experience in a similar administrative or clerical role.
  2. Flexibility to take on additional evening or daytime shifts when requested outside of the scheduled rota.
  3. Excellent organisation, interpersonal, communication and follow up skills.
  4. The ability to listen and guide and coordinate staff efficiently.
  5. High level of attention to detail.
  6. Ability to manage time effectively and prioritise workload.
  7. Ability to work on your own initiative and make informed decisions outside of business operational hours.
  8. Proficiency in IT and systems.
