Design Administrator – Interior Architecture Studio

Location: Newcastle

Job Type: Full-Time

About Us:

We are a dynamic and award-winning interior architecture studio specializing in commercial, hospitality, and retail spaces. Our projects range from high-end restaurants and bars to boutique hotels and retail environments. We are looking for a highly organized and proactive Design Administrator to support our team in delivering exceptional projects.

Role Overview:

The Design Administrator plays a crucial role in ensuring the smooth operation of the studio. This role is ideal for someone who thrives in a creative environment, has a keen eye for detail, and excels in organization, coordination, and communication. You will oversee key administrative functions, manage creative content, coordinate procurement, and support designers with essential project tasks.

Key Responsibilities:

Studio & Project Administration

Organize and maintain project files, documentation, and registers to ensure efficient operations.

Coordinate and manage the studio diary, scheduling meetings, site visits, and appointments.

Assist in the preparation of internal and external communications, including reports, presentations, and proposals.

Attend meetings, take notes, prepare schedules, and track assignments and deadlines.

Support designers with general administrative tasks such as processing correspondence and maintaining job schedules.

Maintain and manage the studio’s sample library, ensuring materials are cataloged and accessible.

Creative & Social Media Content

Oversee and manage content for the company’s social media platforms and website.

Direct photo shoots to create high-quality visual content for projects and marketing materials.

Develop engaging written and visual content, including blog posts, case studies, and social media updates.

Work closely with the design team to ensure brand consistency and high-impact storytelling.

Procurement & FF&E Management

Manage the procurement of furniture, fixtures, and equipment (FF&E) for projects.

Liaise with suppliers, negotiate costs, and track orders to ensure timely deliveries.

Maintain procurement logs and project budgets.

Finance & Office Support

Create and issue invoices in coordination with the company director.

Track project expenses and assist with budget management.

Maintain office supplies and ensure the smooth running of daily studio operations.

Requirements & Skills:

2+ years of experience in an administrative role, ideally within a creative, design, or architectural environment.

Strong organizational and multi-tasking skills with exceptional attention to detail.

Excellent written and verbal communication skills with a professional approach to client interactions.

Ability to prioritize workload and work efficiently in a fast-paced studio environment.

Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel) and project management tools. Or similar

Experience with social media management and content creation tools (e.g., Canva, Adobe Creative Suite, or similar).

Understanding of the built environment and ability to liaise with contractors, suppliers, and clients.

Self-motivated and proactive with a passion for design and creativity.
