Deputy Practice Manager (Maternity cover)
An opportunity has arisen to join our team to provide maternity cover for our Deputy Practice Manager.
Holmes Chapel is a semi-rural practice in East Cheshire, part of the Congleton and Holmes Chapel (CHOC) PCN.
We are a 5-partner, property owning business, employing salaried GPs, Advanced Nurse Practitioners, and a full complement of practice nursing staff. We have a Management team of Business Manager, Deputy Practice Manager, Operations Manager, Nurse Lead, Reception Manager, as well as support from a Finance Assistant and Patient Experience Lead, plus an administrative team of over 40 staff. We are also a dispensing practice.
We have an expanding list size, currently just under 13,000, with a recently extended and completely refurbished health centre.
We are a training practice, with a long-established record of training GP Specialty Trainees, FY2 doctors, medical students, and more recently supporting the development of Non-Medical Prescribers and mentorship of Advanced Clinical Practitioners.
We are rated CQC Good with high QOF achievement.
Main duties of the job
Priorities for the role include but are not limited to:
- Line Management of the Reception Manager and their team of receptionists and administrators, Document Management team, and to cover management of the wider team where required.
- Improving the patient experience including a focus on access.
- Management of practice staff and ensuring a happy, balanced, stable workforce.
- Supporting overall compliance with CQC.
- Liaison with local bodies such as PCN/ICB where required.
- Overall management of the day-to-day running of the practice.
- Overseeing Appointments with the support of the Reception Manager.
- Management of holidays and GP rota as well as administering the Holiday toolkit.
- Management of sickness and ensuring return to work completion with support of the Management team.
- Management of day-to-day HR issues as well as recruitment, induction, grievance, and general performance meetings.
- Completion of CQRS claims including running searches to complete the claims.
- Completion of quarterly DES and LES claims including running searches and completion of claim.
- Friends and Family submissions to deadlines.
- HR management supported by an HR advisory company.
- Completion of searches to support QOF in conjunction with the Nurse Lead and GP QOF lead.
- Ensure all HR files are up to date and within required compliance to policy.
- Cover for the Practice Business Manager as required.

Job responsibilities
- To support the Practice Business Manager in the day-to-day operation of the practice.
- Leading and managing the Reception, Admin, and Document Management teams.
- Ensuring an outstanding patient experience whilst complying with all CQC regulations.
- Operating within budget requirements.
- Completion of Friends and Family, CQRS claims, LES and DES claims, and all relevant searches.
- Act as HR lead for the practice in terms of recruitment, induction, disciplinary, and grievance procedures.
- In conjunction with the GP QOF lead ensuring delivery of QOF targets including updating on progress by completing searches and actioning targets.
- Overall responsibility for holiday planner and GP and clinical rota.
- Complete practice inductions and ensure paperwork is all up to date and compliant.
- Oversee Appointment book ensuring that it is up to date and completed to the required format and within practice guidelines for appointments.
- In the absence of the Practice Business Manager, deputise to lead the Management team and the practice.
Person Specification
Experience
- Experience of working with the general public.
- Experience of working in Healthcare or Primary Care.
- Experience with NHS IT systems EMIS, QOF, CQRS.
- Experience of managing budgets and expenditure.
- Experience of performance management.
- Experience of leading change and successfully implementing such change.
- Experience of workforce planning, managing teams including appraisal of staff, disciplinary procedures, and staff development.
- Completion of team inductions.
- Knowledge of CQC policies and procedures.
- Experience of chairing meetings, producing agendas, and minutes.
Skills
- Excellent written and verbal communication skills.
- Flexibility to work outside of core office hours.
- Full UK driving license.
Qualifications
- General Practice or Healthcare Experience.
