Deputy Pensions Administration Manager

Location: Perth

Type: Hybrid, Full Time, Permanent

The Role:

As a Deputy Pensions Administration Manager with XPS you will:

  1. Oversee the management of annual and ad-hoc projects for all schemes on the team.
  2. Monitor accuracy, performance, and SLAs for the team.
  3. Liaise with Administration Manager regarding appraisals and conduct mentoring meetings with staff.
  4. Attend and contribute to deputy administration manager meetings.
  5. Identify training needs across the team and assist with mentoring.
  6. Ensure accurate time recording for chargeable and non-chargeable activities.
  7. Support and coach colleagues to benefit the team.
  8. Innovate and improve quality, service delivery, and efficiencies.
  9. Maintain a client-focused approach and develop trusting partnerships.
  10. Anticipate and resolve problems, identifying solutions.
  11. Prepare, check, and issue administration bills.
  12. Update internal change control and other schedules as required.
  13. Ensure breaches, errors, and complaints logs are completed and reviewed.
  14. Assist in the recruitment process.
  15. Deputise at Administration Manager meetings when necessary.
  16. Manage day-to-day activities of staff for efficient delivery.
  17. Participate in marketing and new business activities.
  18. Provide expert advice and keep abreast of technical developments.
  19. Drive and support automation projects across the team.
  20. Provide guidance on utilisation and recoverability awareness.
  21. Attend trustee meetings when possible.
  22. Guide senior team members on fees for ad-hoc projects.
  23. Sign out non-standard letters for client and member queries.

Your Profile:

Essential Criteria:

  1. Previous pensions administration experience of Defined Benefit (DB) schemes.
  2. Experience of current pensions legislation and framework.
  3. Previous supervisory or workflow management experience.
  4. Third-party pensions administration experience preferred.
  5. Demonstrated numerical aptitude.
  6. IT proficiency in Microsoft Word, Excel, Outlook & PowerPoint.
  7. Strong presentation skills for pitches and meetings.
