MAIN PURPOSE OF JOB:
To be responsible for the day-to-day management of a busy municipal depot facility, managing multi-skilled employees to ensure the CTS fleet of vehicles are legally compliant at all times, and staff are managed as per the company’s rules and procedures. Ensuring the workshop is loaded, planned and organised to maximise fleet availability, minimise maintenance spend and delivering a high level of customer satisfaction.
KEY RESPONSIBILITIES / ACCOUNTABILITIES:
- Responsible for management of all technicians within the workshop, ensuring the workshop is loaded to maximise productivity and reduce vehicle downtime whilst ensuring full compliance with H&S procedures.
- Ensure all servicing for A, B, C, LOLER and MOT activity is completed aligned to the systemised schedules, to minimise vehicle downtime, whilst ensuring costs are kept to a minimum. Ensuring the Fleet management system is updated aligned to these activities, in a live time approach.
- All work needs to be raised and allocated through job cards, this role along with support from the administrator for the workshop, is responsible for raising the job cards ensuring all work required to be completed is correct on the job card, and then is assigned to the correct resource.
- For all work completed in the workshop, ensuring the technicians log their time against each activity they complete, quality checking their work and identifying recharge, repeat jobs and warranty issues with vehicles. Where warranty then claiming and chasing through with the supplier, recharge identifying to the wider CTS team so the customer is recharged, and where repeat jobs raising with the supplier or where technician issue, identifying and upskilling the technician to support no further issues.
- In controlling all day-to-day activities of the workshop, this also means being responsible for work authorisation and closing of jobs on the Fleet management system, having close control of all systems in place at the workshop, providing mentoring and technical advice/support, controlling parts and ensuring compliance paperwork is correctly completed and loaded to jobs within 24 hours of the job being completed.
- Assessing the potential total costs of repairs for older vehicles to determine if economic to repair, and if not, raising this to the senior management of the business.
- Working as part of the CTS team to ensure all vehicles are scheduled for MOTs for a 12-month rolling period.
- To liaise closely with the rental department to ensure best practice and maximise vehicle availability while controlling maintenance costs and movement costs.
- Ensure the site and employees are Health and Safety compliant, actively promoting a positive Health and Safety culture and meet with company and legislative requirements.
- Responsible for the workshop team completing Off Hire Inspections within 3 working days of the vehicle being returned to a CTS site, ensuring all damage is identified, recharged and repaired and ensuring vehicles are cleaned within these timescales.
- Flexibility to ensure vehicles required for hire are made available as soon as possible.
- Obtaining approval for maintenance expenditure in line with company policies.
- Management of full depot for facilities to ensure equipment is all compliant and arranging repairs or new where required, along with management of third parties on site.
- Overarching day to day senior responsible manager for the site, ensuring depot is controlled and all personnel on site are effectively managed, display high level of professionalism and are sufficiently trained to carry out their responsibilities effectively.
- In being a site key holder, ensuring opening and closing of the depot is completed at the correct times each working day and ensure the site is left locked and secured.
- Have responsibility for the sites Operating Licence and management of the licence.
- Responsible for management of all members of depot. This will include but is not limited to:
- Day to day team management
- To control all holiday for the depot facility, ensuring adequate staffing at all times
- Reviewing the targets set and monitoring and managing the team to these targets
- Ongoing employee reviews
- Identification of development requirements for each employee
- Coaching to enhance the skills within the technical service team.
- KPI team reporting
- Any other duties as required.
About You
- Have a recognised vehicle engineering qualification for HGVs i.e. City & Guilds
- Ability to effectively implement and control Health and Safety management in all workshop operations
- Presentable, proactive person with the ability to conduct themselves in a professional manner having excellent communication skills, focused on seeking to resolve any problems.
- Have a track record of successfully managing workshops
- An ability to work independently and as part of a team.
- Excellent organization skills, with high levels of attention to detail with ability to multitask and prioritise deadlines.
Desirable Skills
- Municipal vehicle maintenance experience
- A HGV category C driving license would be advantageous.
- Hold a recognised IOSH Health and Safety management qualification.
- Hold membership of IRTE or for a similar organisation.
- CPC holder who has previously managed a company’s Operating Licence
