Job Description

As the Document Management Team Leader you will be responsible for the day to day functions of the Department, including the shared line management of a team of 21 AO staff, in accordance with DBS objectives and Key Performance Indicators (KPIs).

Key Responsibilities Include:

  • Complete daily BAU activities to maintain the efficient and effective running of mail, scanning and reprographic services ensuring that all relevant security and data protection protocols are followed.
  • Ensure the delivery of tasks using a case management system in accordance with agreed SLA’s.
  • Carry out regular performance management meetings with staff discussing progress and development needs, ensuring follow up action is taken in line with DBS policies.
  • Attend management meetings to discuss staffing, hot topics, share best practice, identify trends, ensure consistency and meet SLA Daily Process Management.
  • Investigate and take ownership of customer escalations and/or complaints.
  • Maintain good working relationships with all customers.
  • Undertake training and upskilling to support the changing business requirements.
  • Practice continuous improvement considering the measurable benefit to the customer.
  • Support staff in their personal and professional development, taking into consideration additional needs and support requirements.

Person specification

Essential Qualities:

  • Be an excellent communicator with a high standard of customer service skills.
  • Positive can-do attitude with the ability to problem-solve and achieve outcomes in a timely manner.
  • Ability to effectively manage expectations, take ownership of issues and persistently drive them to resolution.
  • Ability to confidently work with IT, especially Microsoft products.
  • An openness to feedback and confidence working with others.
  • Ability to multi-task, set priorities and manage time effectively in a changing environment.

Desirable Qualities:

  • Previous experience in a customer service role.
  • Line Management experience.
