Job description

Job Title: Customer Service Co-ordinator
Location: Birkenhead
Duration: 9 months (maternity cover)
Salary: TBC
Hours: 7.30am-4pm, Mon to Thurs, 7.30am-12.30pm Fri.

Our Rail Client based in Birkenhead is recruiting for a Customer Service Co-ordinator, on a contract basis for approx 9 months.

Key Duties & Tasks:

  1. Direct liaison with external & SISCO customers providing efficient responses and recording information.
  2. Lead order book reviews with customers.
  3. Support Birkenhead Accounts with Customer Invoice queries, for resolution.
  4. Support the Business Managers with delivery information on key customers.
  5. Own customer OTD for all customers under their responsibility.
  6. Attend the daily production meeting, being the voice of the customer.
  7. Provide feedback on delivery failures to the customer.
  8. Work closely with Production Planning, Material Planning and Operations to ensure information is robust and commitments are achieved.
  9. Attend Project Reviews.
  10. Understand the expectations and requirements of the key customers.
  11. Provide concise and quality, technical and cost information on M&D inspection reports for customers and ensure reports are issued in a timely manner.
  12. Attend reviews with the key customers.
  13. Enter and maintain customer orders on to the MRP system.
  14. Ensure orders are acknowledged to the customer within 3 working days.
  15. Ensure all orders have valid agreement via LTSA or Quotation.
  16. Respond to customers’ Requests for Quotations (RFQs) and enquiries.
  17. Liaise with the customer for re-scheduling orders.
  18. Understand capacity constraints when entering customer orders.
  19. Work closely with Production Planning and Material Planning to ensure information is robust and commitments are achieved.
  20. Management of the Repair Sales & GRN in-trays on a daily basis ensuring all reports are executed efficiently and filed in the appropriate folders.
  21. Control and progress the NSI process.
  22. Assist the other members of the Sales Administration team.
  23. Ensure all sales administration processes are executed and compliant with internal procedures, WMS and Internal Control, minimising exposure and risk.
  24. Assist and cover the Sales Order Administrator to ensure all orders and acknowledgements are processed in a timely manner.

General:

  1. Adhere at all times to the company’s Health, Safety & Environmental instructions and requirements.
  2. Take on any other reasonable responsibilities or tasks that are within the employee’s skills and abilities.

Working Relationships:

  1. Customer Service Manager.
  2. Close working relationships with Sales Administration team, Business Managers, Material Planning and Production Planning.

Skills, Knowledge & Experience:

  • Business acumen.
  • Numerate IT Literate (particularly Excel / Google Docs).
  • Strong organisational skills.
  • Ability to efficiently organise workload.
  • Ability to work autonomously or as part of a team.
  • Knowledge of Railway Industry (desirable).
