Job Description

Job Title: School Green Centre Customer Care Team Assistant

Hours: Part-time – Thursday and Friday evenings plus 2 in 3 Saturday evenings, 19:30 to 22:30

Salary: NJC Grade LC1 (5-6) £24,790 per annum pro-rata (hourly rate £12.85)

Contract: Permanent

Reporting to: Deputy Clerk and Customer Care Team Supervisor

Specific Responsibilities:

Reception Duties:

  1. Dealing with face-to-face customer enquiries and complaints and ensure they are addressed promptly and/or escalated appropriately.
  2. Receiving and dealing with routine correspondence and documents.
  3. Hold and allocate key fobs to hirers for entry to secondary facilities as and when required.
  4. Meet and greet new and potential users and show them around the building, answering any questions related to the halls.
  5. Reception duties as appropriate to the shift.

Community Centre Building Duties:

  1. Responsible for the daily health and safety checks around the building including fire doors, fire extinguishers and blankets, and lighting and heating.
  2. Making regular checks throughout the shift to toilet facilities and report any variations to the standard of cleanliness to the relevant staff member/contractor.
  3. Checking that the non-commercial kitchen is clean, equipment is working, and the fridge is empty after users have vacated.
  4. Setting up the rooms as requested by the hirers, including operating equipment as required.
  5. Checking rooms after hirers have vacated and making sure they are ready for the next hirer.
  6. Reporting any issues to the relevant staff member/contractor.
  7. Making sure the venue is free of visitors and secured at the close of business (this will entail lone working late at night).

Other Duties:

  1. Supporting Council events as required.
  2. Any other jobs that may be required and are determined to be commensurate with the grade.

Knowledge:

Essential:

  1. IT literate.
  2. Knowledge of administrative functions.

Desirable:

  1. Familiar with the geography and demographics of the parish and its surrounds.
  2. Have a basic understanding of the role and services provided by local councils.

Experience:

Essential:

  1. Previous experience in a customer-oriented environment and/or.
  2. Experience of working in a busy reception area.

Desirable:

  1. Previous experience in managing room allocations / hall bookings such as community halls and/or sports facilities.
  2. Previous experience of carrying out health and safety checks in buildings would be an advantage.

  4. Good written skills.
  5. Ability to explain matters simply to customers.
  6. Ability to manage priorities and work generally.
  7. Ability to work on own initiative with minimum supervision.
  8. IT skills including basic use of word processing, simple spreadsheets, use of internet applications and social media for work purposes.

Desirable:

  1. Understanding of GDPR - confidentiality and handling personal information.
