Main Duties and Responsibilities for the COINS System Administrator:

BAU (Business-As-Usual) Responsibilities

  1. User Access Management:
    * Manage user groups, roles, and permissions within COINS ERP.
    * Ensure secure and appropriate access levels are maintained for all users.
    * Handle the user lifecycle (starters, movers, leavers), ensuring appropriate access is granted and revoked.
  2. System Administration:
    * Daily system health checks and monitoring to ensure the COINS ERP system is running optimally.
    * Troubleshoot and resolve system issues and user-reported problems.
    * Coordinate with external vendors or support teams when advanced technical issues arise.
  3. Workflow Management:
    * Create, maintain, and optimise workflows in COINS to ensure smooth business operations.
    * Manage delegation of tasks, approvals, and authorisations within the system.
    * Work with different departments to align workflows with their business processes.
  4. System Maintenance:
    * Ensure system patches, updates, and upgrades are applied with minimal disruption.
    * Perform regular backups and ensure system recovery procedures are in place.
    * Maintain documentation for system configurations and customisations.
  5. Reporting and Auditing:
    * Generate reports related to system usage, access control, and performance.
    * Conduct periodic audits to ensure compliance with security policies and data protection regulations.
  6. Training & Support:
    * Provide training to end-users on system functions, workflows, and new features.
    * Develop and update training documentation as needed.

Project-Based Responsibilities:

  1. New Functionality & System Enhancements:
    * Assist with the design, testing, and roll-out of new modules and system functionality in COINS ERP.
    * Collaborate with cross-functional teams to ensure successful deployment of enhancements.
    * Coordinate user acceptance testing (UAT) and provide feedback to development teams.
  2. Data Migration & System Integration:
    * Support data migration activities during system upgrades or new implementations.
    * Ensure seamless integration with other third-party systems.
  3. Process Improvements:
    * Analyse existing processes and workflows to identify opportunities for optimisation.
    * Implement changes in the system that improve efficiency, reporting accuracy, and user experience.
  4. Change Management:
    * Participate in change management processes related to COINS, ensuring clear communication with stakeholders regarding system changes or downtime.

Skills and Experience Required for the COINS System Administrator:

  1. Proven experience as a System Administrator for COINS ERP or a similar ERP system.
  2. Strong understanding of COINS ERP modules, including Procurement, Finance, Commercials, and Forecasting.
  3. Proficient in managing user groups, roles, and permissions.
  4. Knowledge of workflow management and process optimisation in an ERP environment.
  5. Experience with starter, mover, leaver processes for user lifecycle management.
  6. Ability to manage multiple tasks in a fast-paced environment, with a mix of BAU and project-based work.
  7. Strong communication skills, capable of explaining complex technical details to non-technical users.
  8. Familiarity with data protection regulations and ERP system security practices.

Desirable:

  1. Experience working with COINS reporting tools and BI modules.
  2. Knowledge of SQL or other query languages for reporting and troubleshooting.
  3. Experience in project management or working within a project delivery framework and in data migration or ERP integration projects.
  4. Certifications in ITIL or ERP system administration would be advantageous.
