Job Summary

Job Title: Clinical Research Administrator Location: Hybrid (mix of home working and office-based in Suffolk)

We are looking to recruit a Clinical Research Administrator to join our dedicated Clinical Research team. In this role, you will provide vital administrative support for clinical research activities within and across Suffolk Primary Care (SPC).

Role Purpose: The main objective of this position is to work with the Lead SPC Research GP and SPC Research Nurse in optimising recruitment for research projects across all SPC cluster partnership practices. This will be achieved through effective monitoring of recruitment and the RSI (Research Site Initiation) scheme.

Main duties of the job

Key Responsibilities:

  1. Research and Governance: Support the clinical research team in coordinating a portfolio of National Institute for Health Research (NIHR) studies and commercial studies.
  2. GCP Compliance: Participate in Good Clinical Practice (GCP) training and ensure GCP compliance for both yourself and the team.
  3. Study Coordination: Assist in the coordination of ongoing studies, including maintaining site files, updating quality systems, preparing documents for patient visits, and liaising with patients/carers.
  4. Administrative Support: Provide general administrative assistance, such as meeting coordination, minute-taking, and documentation management.
  5. Documentation & Compliance: Manage trial documentation and ensure adherence to regulatory requirements.
  6. General Support: Provide additional administrative support to the clinical research team as needed.

Qualifications:

  1. Prior clinical research experience is desirable but not essential; we value a willingness to learn and actively engage in training opportunities.
  2. Strong communication and organisational skills are essential.

Title: Clinical Research Administrator

Accountable to: Lead SPC Research GP and Managing Director

Purpose Of The Role: The purpose of this role is to provide administration support to clinical research activities taking place within and across Suffolk Primary Care.

Principal Duties And Responsibilities:

  1. Provide full administrative and secretarial support to the team.
  2. Take accurate notes and minutes at meetings as required, presenting the minutes in a professional format to given timescales.
  3. Co-ordinate diary events and arrange meetings using electronic calendar where possible, liaising with external venues, suppliers, caterers as required.
  4. Co-ordinate monitoring visits for commercial studies, liaising with CRA and other study staff.
  5. Establish and maintain office systems and administrative procedures to achieve high standards of clerical services, reporting any deficiencies in the Business Support system or areas of concern to the Executive Assistant.
  6. Receive and deal with incoming telephone calls, taking messages or relaying information as required.
  7. Receive, screen and sort incoming emails, dealing with correspondence on the teams behalf, including summarising information and advising on priorities/cause of action.

  9. Draft letters and documents as appropriate which conform with SPC standards in terms of appearance and professional content.
  10. Undertake word processing of correspondence, documents, forms, agendas and reports.

  12. Create and maintain up to date filing systems both electronic and paper-based, using the most effective methods.
  13. Work closely with other staff both within and outside Suffolk Primary Care to maintain effective communication channels to develop efficient processes.
  14. Maintain Research webpage ensuring current study information is up to date.
  15. Establish and accurately maintain information systems and financial records.
  16. Work with Central Finance team to ensure accurate reporting of financial income and spend.
  17. Work with SNEE NIHR EoE RRDN Finance team to ensure accurate reporting of financial income and spend.
  18. Review annual NIHR EoE RRDN Primary Care Annual Research Site (RSI) Cluster contract.
  19. Review individual Research study contracts and Organisation Information Documents working with the NIHR Interactive Costing Template where applicable.
  20. Maintain RCGP Research Ready Universal Level accreditation for lead SPC Research practice.
  21. Complete and submit expressions of interest of interest for both Academic and Commercial research studies and provide supporting information as required.
  22. Complete and submit funding bids.
  23. Maintain and update practice and study information on EDGE.
  24. Liaise with SPC Research Lead GP, SPC Research Nurse and GP Research Champions reading GCP refresher training.
  25. Act as first point of contact for Research study set up activities.
  26. Act as first point of contact for Research electronic data extract software and attend SPC cluster partnership practices as required.
  27. Maintain paper and electronic Research study site files and arrange archiving of documents as required.
  28. Coordinate monthly SAE reporting.
  29. Attend project group meetings on behalf of SPC Research team as required.
  30. Liaise with DPO as required.
  31. Liaise with RRDN and Research study teams when an SPC practice leaves or joins the cluster partnership.
  32. Multi-task and prioritise work throughout the day, responding to requests as necessary and adjusting work schedules accordingly.
  33. Undertake specific discrete projects/areas of work as directed.

Administrative support

  1. Be responsible for ordering and dispatching of stationery, supplies and equipment on behalf of the team.
  2. Log and process applications for staff for internal and external training, processing forms for payment, and booking places on courses etc.
  3. Support the team in the achievement of objectives.
  4. Contribute to team meetings and participate in formulating plans for continuous service improvement.
  5. Provide direction and guidance to colleagues when queries arise.
  6. Participate in the staff appraisal and training programme as required to fulfil the duties of the post.

Person Specification

Experience Essential:

  1. Experience of working in administration, preferably within the NHS.

Desirable:

  1. Experience of working in Primary Care or in a Research environment would be desirable.
