About the Role

We are seeking a highly organised and proactive Client Services and PA candidate. This role requires a bubbly personality, exceptional multitasking abilities, attention to detail, and the ability to manage a wide range of administrative, financial, technical, and operational tasks. You will play a key role in ensuring smooth day-to-day operations, managing communication, handling client enquiries, CRM management, and financial administration.

Our CEO, Sara Davison, is an author, podcaster, speaker, influencer, media commentator, and patron of a domestic abuse charity. Our company spans across both B2C and B2B markets. We help people cope better with breakup, divorce, and toxic relationships. We have a coach training school with over 700 coaches in 30 countries. We also provide support for employees in the workplace dealing with breakups and run corporate training. Our team is making a real positive difference in the world and we are looking for a driven and motivated teammate!

Key Responsibilities

  1. First point of contact for clients and coaches
  2. Manage new coach onboarding and CRM updating
  3. Support clients with training programme access and technical queries
  4. Promptly respond to customer inquiries via WhatsApp, text, email, and phone
  5. Handle incoming calls on the Business Hotline
  6. Manage day-to-day communications and tasks using HubSpot, Kajabi, Zapier, and other technical tools

2. Reporting & Analysis

  1. Streamline operational systems and update procedures
  2. Generate weekly and monthly reports for business performance tracking

3. Event Coordination & Management

  1. Organise and manage logistics for events, including:
  2. Monthly Coach Community Webinars (scheduling, reminders, expert bookings, event emails, social media events, post-event recordings)
  3. Annual Conference Support (assisting with logistics and coordination)
  4. Team & Coach Christmas Party Arrangements
  5. Create and manage collateral for events (print and digital)
  6. Arrange travel and logistics for events and exhibitions
  7. Coordinate post-event communication, lead capture, and follow-ups

4. PA Support

  1. Manage the diary and schedule for the CEO
  2. Arrange and coordinate travel bookings and itineraries
  3. Handle expenses and reimbursement processing
  4. Provide personal administrative support
  5. Track minutes and action items for team meetings
  6. Respond to ad hoc requests as needed

5. Finance & Credit Control

  1. Process and send invoices for payment processing
  2. Handle credit control by tracking and chasing missed payments
  3. Cross-check invoices for payment approval
  4. Process and update Stripe subscriptions
  5. Prepare and submit monthly financial reports, including international and contractor payments

6. Marketing & Communications

  1. Draft and send sales emails and newsletters
  2. Manage collateral creation with designers and printers
  3. Oversee social media event promotions and follow-ups

Key Skills & Experience

  1. Strong organisational and multitasking skills
  2. Bubbly, friendly, upbeat customer service attitude
  3. Experience in financial administration (invoicing, credit control, reporting)
  4. Strong proficiency in CRM systems (HubSpot, Kajabi, Stripe, Zapier)
  5. Event management and coordination experience
  6. Ability to manage customer service inquiries and sales follow-ups
  7. Excellent communication skills (written and verbal)
