Job summary

An exciting opportunity has arisen to join a friendly team, working within the department of Emergency medicine/Acute care medicine. We are looking for a dynamic individual to join our busy team.

The successful candidate will provide efficient, effective, and comprehensive administrative support for the department of Emergency medicine/Acute care medicine.

Main duties of the job

Duties will include updating patient management systems, answering calls, greeting patients/relatives, preparing notes, and supporting the nursing team with all aspects of ward administration such as record keeping, data entry, filing, and scanning.

You will need to be able to communicate effectively with all staff members and patients.

This role covers 365 days over a 24-hour period on a rotational shift pattern and involves completing administrative tasks that are aligned to provide effective care for patients on the Emergency and Acute pathway.

Job description Job responsibilities:

Duties will include:

  1. Ensuring good communication between the administration team and the clinical team so that the department area runs smoothly.
  2. Liaising with patients, relatives, carers, outside agencies, and colleagues within a multidisciplinary team via telephone and face-to-face communication.
  3. Ensuring that all patients are received and directed to the appropriate waiting area or ward area in a courteous, professional, and timely manner as the post holder is often the first point of contact for most patients.
  4. Ensuring that patients' demographic details are always kept up to date in the medical records and on the Patient Administration System, by checking personal details such as name, address, telephone number, ethnic origin, and GP.
  5. Using the Patient Administration System to book patients onto the system and to make follow-up outpatient appointments as and when required.

Person Specification

Qualifications Essential:

  • High level of literacy and numeracy
  • GCSE or equivalent in English and Maths

Experience Essential:

  • Demonstrable experience of administrative & clerical systems and processes
  • Fully conversant with information and other IT systems.
  • Experience in Microsoft Office including Outlook, Word, and Excel

Desirable:

  • Previous ward clerk/reception experience
  • Previous experience of working in an acute hospital environment

Skills and Knowledge Essential:

  • Ability to deal with difficult/anxious people using tact and diplomacy.
  • Excellent organisational skills to manage own workload and assist in running a smooth service.
