Job description

By the Bridge with Cambian is seeking a dedicated and detail-oriented CHARMS Administrator to join our team. In this role, you will primarily focus on administration, data migration accuracy, auditing, and supporting staff and foster parents with training and system support. Working closely with the Senior System Analyst, you will help drive the progression of the CHARMS system and ensure the effective implementation of new system features.

Key Responsibilities:

1. Support the production and ongoing development of company-wide procedures for CHARMS processes.
2. Maintain various lookup lists and reports linked to operational policies and procedures in collaboration with the Quality Assurance Team and Senior System Analyst.
3. Oversee data auditing and ensure compliance with internal audit procedures.
4. Support regular audits of records to maintain data integrity and identify process gaps.
5. Collate requests from the organisation related to changes and reporting needs.
6. Manage the creation, deactivation, and user permissions for CHARMS accounts.
7. Coordinate and deliver training for staff and foster parents, covering onboarding, new features, and system changes.
8. Assist with implementing and documenting future system improvements.
9. Manage file read requests from external agencies and ensure secure document handling via Egress workspace.

Person Specification:

1. Excellent communication skills, with the ability to engage with stakeholders at all levels.
2. Completion of CHARMS Super-User Training.
3. Strong IT skills, particularly with Microsoft Word, Excel, and Outlook, and experience working with databases and IT systems.
4. Ability to multi-task and prioritise effectively.
5. Experience in a fast-paced, high-pressure environment.
6. Knowledge of fostering services and previous experience working in a placement team.
7. Background experience in IT.
