Job Description

Contract

From 1-6 weeks depending on locations.

Hours of Work:
Your normal hours of work are up to 48 per week over a six-day week, to be agreed depending on availability and centre requirements. This position involves working on weekends and other unsocial hours.

Time off:
You will have one day off per week (a full 24-hour period). There may be some restrictions on which day this can be, depending on operational need.

The on-site induction will last for four days and will include orientation to the site, safeguarding and role-specific training. Pre-camp, there will be an online course to complete (approx. 5 hrs). You may also be invited to attend first aid training, group sessions at Head Office, and/or remote training sessions.
All elements of the induction are paid (separate to your salary).

Duties and responsibilities of all summer staff
Student Welfare and Safety
• Actively promote and safeguard the welfare of all students
• Create and maintain a safe, respectful, and inclusive environment
• Stay vigilant and report any concerns about student well-being to appropriate staff members
• Understand and adhere to all child protection and safeguarding policies
Pastoral Care and Student Support
• Provide emotional support and guidance to students adjusting to a new environment
• Collaborate with other staff members to address individual student needs
Professional Conduct
• Follow instructions and directives from line managers (CM) promptly and professionally
• Contribute to a positive work environment by maintaining a cooperative and respectful attitude
• Be flexible and willing to take on additional responsibilities as assigned by your line managers
• Adhere to all IHL Young Learners policies, procedures, and codes of conduct.

Duties and responsibilities of Centre administrator
Accommodation
• Ensure all students have rooms appropriate for their booking
• Update changes to room list and liaise with site staff regarding any maintenance issues
• Check with House supervisors if any students should not receive their deposit
• Ensure all room keys are ready for transfer day
Transfer day
• Support the centre manager preparing for transfer day
• Ensure all staff are briefed on duties for arrivals/departures
• Update live transfer sheet throughout the day
• Overseeing registration and ensure staff are all aware of the registration process
Financial transactions
• Ensure petty cash/payments received records are kept up to date
• File receipts for petty cash/payments received and upload to folders
• Ensure all expenditure is added to spreadsheet
• Reimburse staff for any expenses they have paid for
Passports and deposits
• Create a functional filing system for passports and students’ deposits
• Ensure all deposits and passports have been returned before departure
• Liaise with group leaders about storing passports
Administration
• Assist with registration of new starters (staff) including photocopying documents, checking right to work and record-keeping
• Respond to emails regarding students
• Report numbers (e.g., dietary requirements) to relevant site staff.
