About the role

Are you passionate about administration? Are you friendly, confident, and outgoing with plenty of enthusiasm and a can-do attitude? If so, we have an excellent opportunity for an independent and motivated individual to join our Property Division at Imperial.

The role is for a 10-12-month (dependent on start date), fixed term appointment and the successful candidate will join the Administration Team to provide a wide range of administrative tasks across the Property Division. The Division comprises of Building Operations, Catering and Events, Commercial Operations, Community Safety and Security, Early Years Education Centre (EYEC), Residential Services, Move – Sport Imperial, Capital Projects and Estates Management, Administration and Learning and Development, Health & Safety and Communications.

You will be responsible for the general office administration including managing promptly the enquiries to the central administration email account, maintenance of electronic filing systems and database records, producing letters, photocopying, ordering of stationery and compiling data and distributing as required.

The role also involves working closely with, and providing advice, solutions to queries, and support to staff within all areas of the Property Division, which requires flexibility to support complex departments and differing needs.

What you would be doing

  • Customer Service
  • Timesheet consolidation of staff hours and calculating overtime
  • Supporting the recruitment process
  • Online annual leave management
  • Raising of purchase orders and virtual credit cards and booking meeting rooms and refreshments/catering

What we are looking for

  • A-Level or Equivalent
  • Previous experience of office administration in a similar role within a pressurised team
  • Previous experience of the ability to communicate effectively with a variety of colleagues and customers
  • Experience in multi-tasking and meeting tight deadlines
  • Experience of using databases to store, manipulate and retrieve information
  • Excellent communications skills, both written and verbal, to present and deliver information in an appropriate manner
  • Ability to handle confidential information with tact, discretion and diplomacy and an understanding of GDPR compliance
  • Experience of managing recruitment documentation, setting up interviews and liaising with candidates and arranging room bookings
  • Be highly organised with an eye for detail and accuracy
  • Excellent organisational and planning skills, to build and maintain systems and processes
  • Excellent computer skills with an understanding and demonstrable experience of Microsoft Office, Excel, PowerPoint, Teams, Word, and Outlook
  • Ability to adapt to new software in a timely manner
  • Be enthusiastic, self-motivated and an effective team player
  • A flexible approach to working
