We’re looking for energetic, enthusiastic people with a natural flair for leadership and engaging with young learners. Position: Campus Coordinator (Residential Only)

(Multiple positions available across London and Manchester)

Line Manager: Centre Manager

Line Manager Reports to: Programme Manager

Responsible for: The planning, organisation and running of the Campus Leader team and the on-campus activities programme. Ensuring all student welfare needs are always met when on-campus. Fully interacting and engaging with students across mealtimes, activities, and social time, ensuring all students are happy, having fun and participating at all times. The role requires participation in activities and evening excursions wherever possible.

Purpose: The main role of a Campus Coordinator is to ensure the Campus Leader team engage with the students and, in turn, make sure that the students engage with all aspects of their on-campus time. This means communicating, interacting and being alongside both the Campus Leader team and the students through the day, and making sure they are happy, involved and having fun. The role requires a hybrid working approach combining office work and active participation in campus events.

Is Training Provided? Yes, we offer a comprehensive training programme prior to the summer through a mix of our online training portal and online video calls. We will talk you through every aspect of the summer, and you'll get to work closely with the Programme Managers and the Coordinators and Centre Managers from our other centres, so that when your centre opens, you know exactly what to do.

General Responsibilities and Tasks

  1. Represent the company professionally at a local level.
  2. Act in a professional and appropriate manner with all of Language in Action/Malvern International’s agents, clients, students, host campus staff and Language in Action staff; not to engage in any activity which may bring Language in Action/Malvern International or the host campus into disrepute.
  3. Wear the Language in Action uniform.
  4. Complete mandatory online training, attend a training day, or days, prior to the start of the course, and thereafter to attend any staff meetings deemed necessary by the on-site management team.
  5. Read, be fully conversant with, and act in accordance with the staff handbook, company policies, relevant Child Protection documents and all risk assessments prior to the start of the period of employment (documents supplied prior to the start of employment). Remaining vigilant in all matters of student welfare and reporting issues or concerns to an appropriate member of staff.
  6. Act always in accordance with the company policies outlined in the staff handbook and with the safeguarding policy to ensure the safety and well-being of all students. Maintaining an approachable, but professional and appropriate attitude towards all students, group leaders and staff.
  7. Ensure that the company’s Health and Safety guidelines are followed, both on campus and when students are on off-site excursions.
  8. Ensure that students adhere to the code of conduct laid down by the company and report any incidents of misbehaviour to the appropriate member of staff.
  9. Be involved in any activity necessary for the smooth running of the centre.

Role Specific Responsibilities and Tasks

Activities & Campus

  1. Assist with the set-up, opening and closure of the centre.
  2. Deliver campus inductions for students and group leaders.
  3. Create the Campus Team member rota on a weekly basis for approval by the Centre Manager.
  4. Be familiar with, and adjust where necessary, all risk assessments related to campus and student activities.
  5. Plan for, organise, deliver, and participate in on-campus activities including but not limited to the following:

- Source or acquire equipment and/or provisions for activities ahead of time.

- Book, request or hire venues or spaces for activities.

  1. Hold regular meetings with Campus Leaders.
  2. Ensure Campus Leaders have the knowledge, skills and equipment to necessary to deliver campus activities.
  3. Plan for, organise, deliver, and fully participate in off-campus evening excursions including but not limited to the following:

- Review and amend excursion sheets prior to excursion day.

- Review and amend risk assessments prior to excursion day.

- Ensure Campus Leaders have the knowledge, skills and equipment to necessary to deliver off-campus activities and excursions

  1. Manage finances related to the Campus division of the centre and maintain accurate reconciliation of all expenditure in line with company policies.
  2. Collect and select photos and videos of activities for social media use in line with company policies.
  3. Attend regular management meetings scheduled by the Centre or Programme managers.
  4. Host regular Agency Group Leader meetings alongside the management team
  5. Maintain clear avenues of regular communication with Agency Group Leaders, Campus Team leaders, and the management team.
  6. Coordinate all aspects of arrivals and departures on campus, including but not limited to the following:

- Room checks prior to student arrival.

- Student check-in and registration.

- Campus tours.

  1. Sit with and engage with students, group leaders and Campus Leaders at mealtimes.
  2. Perform regular Campus Leader observations and organise feedback one-to-one sessions with each the Campus Leader team member.
  3. Familiarise yourself with the campus and the local area or nearest town.
  4. Work with the Language in Action management team and leaders at the centre and develop a friendly and co-operative atmosphere.
  5. Engage with the students in a friendly but professional manner.
  6. Assist the Centre Manager with any administrative tasks as they see fit.
  7. Prepare and update the Language in Action notice boards and signs around the centre to ensure students and leaders are kept informed on any relevant information.
  8. Ensure Language in Action has a visible presence on the campus through correct branding placement and presentation.
  9. Provide support on, or lead tours on occasion if requested to by you line manager (typically covering for staff sickness / absence).

Welfare Duties

  1. Complete mandatory welfare training prior to the student’s arrival.
  2. Be responsible for the students’ overall safety and security on-campus.
  3. Report all incidents through the correct channels and procedures.
  4. Maintain fully equipped first aid boxes and documentation.
  5. Orchestrate and conduct periodical room checks and evening patrols of the campus and residence.
  6. Assist with Fire drills across the campus.
  7. Ensure you know the Safety procedures and potential risks involved in each of your duties.
  8. Organise supervision during mealtimes and give support to campus facilities staff as required to ensure mealtimes function properly.
  9. Orchestrate the delivery, organisation and distribution of packed meals to students in accordance with the student’s timetable.
  10. Maintain an up-to-date record of student allergies and illnesses and communicate this information to all relevant parties
  11. Maintain an up-to-date and accurate catering summary for approval by the centre manager for canteen, packed meals and external meals.
  12. Maintain an up-to-date record of room allocations, maintenance and restrictions.
  13. Monitor local news and weather for unforeseeable events that may affect the timetable.
  14. Provide supervision at all times students are on campus including but not limited to mealtimes, social times, evening excursions and on-campus activities.
  15. Organise meals and catering with external suppliers as per the student’s timetable.

Safeguarding Duties

  1. Complete mandatory Safeguarding training prior to the student’s arrival.
  2. Work with Agency Group Leaders to ensure all students are at the meeting points, and report to line manager if they can’t participate in any activities.
  3. Fulfil the duties and responsibilities of Safeguarding Officer Level 2
  4. Report all incidents to you direct line manager, raising concerns for support or instruction where you feel necessary or when required.
  5. Act on all reports of safeguarding or welfare concerns in an appropriate and correct manner, and in line with Language in Action safeguarding and welfare policies.
  6. Adhere to and promote the Language in Action and Malvern International Safeguarding policy and apply it to all aspects of your work at all times.
  7. Read, understand, and be prepared to action Language in Action policies to the Campus Leader role and to student welfare.

Summer centres operate 24 hours a day and can be extremely busy places. There may be duties to perform in addition to those detailed above. Flexibility and common sense are fundamental attributes for this position.

PERSON SPECIFICATION

The person

The Campus Coordinator role requires an outgoing, energetic, and confident person who can communicate with large groups of people with ease. An ideal candidate can lead by example, participate in tasks with maximum effort, and is able to collaborate with colleagues to deliver exciting, fun, and engaging experiences for the students.

The role requires flexibility in approach and excellent organisational skills, as well as the ability to adapt plans in the moment. Campus coordinators are able to show initiative and common sense and can demonstrate the ability to adapt to changing situations with ease.

An ideal candidate must be able to demonstrate a range of leadership skills including problem solving, people management, professionalism in the workplace, and organisation.

Skills and Abilities

Essentials:

  • Ability to engage with large groups of people in an entertaining and interactive way.
  • High level of spoken and written English.
  • Computer literacy (Microsoft Word and Excel or equivalents).
  • Excellent communication and organisational skills.
  • Flexibility in working hours.
  • Eligibility to work in the UK.

Desirable:

  • Participation in the Enhanced DBS Update Service (UK citizens only).
  • Safeguarding training / certification.
  • First Aid certification.
  • Knowledge of the local area (London or Manchester).
  • Experience leading a team, group, or society.
  • Experience working with external groups / clients.
  • Experience completing administrative duties.
  • Experience in public speaking, performance, or engagement.
  • Experience participating in sports, games, arts, dance, or group activities.
  • Experience working with children aged 12-18 years.

PLEASE NOTE

The role will only be offered to those who are able to complete a successful Enhanced DBS check (UK) / Police Check (non-UK) prior to the start of summer.

Due to the nature of short-term language courses, a high degree of flexibility is required. You may be required to work at unsociable hours or assist in duties such as early morning or late-night arrivals and departures, and curfew supervision. ROOM AND BOARD

Where a fully residential position is offered, employees will be provided with breakfast, lunch and dinner, and a standard single room for each night they are due to work the following day.

PAY AND CONDITIONS

Weekly Salary: £650 (Gross salary)

Holiday will be accrued in accordance with UK laws and regulations. Working hours may vary based on a number of operational factors, but typical working hours for a full-time position are 43 hours per week. Weekend and late evening work is required, and working schedules run on a shift basis.

UK bank account holders are paid monthly. Employees with a non-UK bank account will be paid at the end of the summer period. All international bank fees are paid by the employee and deducted from the salary.
