Overview

The Buying Admin Assistant reports into the Buyer for a particular category and you are responsible for the administrative duties of the department. This includes sample management, critical path, supplier communication, meeting preparation, and systems admin.

Location: 4 - 5 days per week based at our North Acton Office.

What You Will Do
  1. Product Development - Support the development of our amazing product working closely with internal teams and suppliers.
  2. Notify suppliers when development BOM's are created on PLM and ready to sample.
  3. Critical Path - manage the department Critical Path to ensure deliveries are on time through weekly team meetings and supplier calls.
  4. Ensure development packs and samples meet deadlines.
  5. Communicate lap dip, trim and bulk approvals to suppliers in line with the critical path and flag any concerns.
  6. Organise and file the department lab dip and bulk approvals.
  7. Follow the fit process and raise when changes may result in delayed deliveries.
  8. Communicate delays in a timely manner and offer solutions.
  9. Support the Assistant to set up order confirmation documents.
  10. Work closely with the Assistant to set up the production BOM's.
  11. Sample management - Internal management and preparation of samples for meetings.
  12. Work closely with Tech and suppliers to ensure Photo, TOP, Press samples are ordered and sent in time for shoot.
  13. Systems - Keep PLM up to date and accurate at all times.
