Business Support Administrator – Waste Management

Salary: TBC London Range is 21k to 26k

Role Overview

The Business Support Administrator plays a crucial role in ensuring the smooth operation of administrative and customer support functions within our waste management business. This position is responsible for coordinating key business processes, supporting operational teams, maintaining compliance records, and delivering excellent customer service.

Key Responsibilities

Administrative Support:

  1. Manage and maintain customer records, contracts, and service agreements.
  2. Process invoices, purchase orders, and payments in line with financial procedures.
  3. Support the scheduling of waste collection services and ensure efficient route planning.
  4. Maintain stock levels of waste management supplies and order equipment when required.

Customer Service & Communication:

  1. Act as the first point of contact for customer inquiries via phone and email.
  2. Handle service requests, complaints, and escalations professionally and efficiently.
  3. Communicate collection schedules, service updates, and compliance requirements to customers.

Operational Support:

  1. Assist in the coordination of fleet and driver schedules, ensuring compliance with waste collection regulations.
  2. Monitor service performance, liaise with operations teams, and ensure issues are resolved promptly.
  3. Support the tracking and reporting of waste volumes, collections, and recycling rates.

Compliance & Data Management:

  1. Ensure all waste collection activities comply with UK waste regulations and company policies.
  2. Maintain up-to-date records for waste transfer notes, duty of care documentation, and permits.
  3. Assist with audits and inspections by regulatory bodies or clients.

General Office & IT Support:

  1. Use business software (e.g., Waste Logics, Microsoft Office, CRM systems) to manage data and workflows.
  2. Support the preparation of reports, presentations, and management information.
  3. Assist in staff training and onboarding for administrative processes.

Key Skills & Experience Required:

  1. Experience in administration, customer service, or operations support, preferably in waste management or a similar sector.
  2. Strong IT skills, including Microsoft Office, CRM systems, and scheduling tools.
  3. Excellent organizational skills and ability to multitask in a fast-paced environment.
  4. Strong communication and problem-solving skills.
  5. Knowledge of waste management regulations, duty of care, and compliance processes is desirable.
  6. Ability to work independently and as part of a team.
