Business Operations Specialist I (Maternity Leave Cover - Fixed Term Contract)

The Business Operations Specialist l provides internal support to the PPT sales organization. Expected to manage multiple priorities, have a high level of attention to detail, follow a process, and interact with other departments within PPT including Presales, Operations, IT, and Finance, to manage all issues to completion. Accountable for proactively managing each step in the contract review and approval process.

What you’ll be doing:
  1. Responsible to facilitate and coordinate incoming opportunities, quote requests that come from our Sales teams, contract addendums, along with booking new contracts with accurate documentation and entry.
  2. Coordinates contract and/or customer requirements with Pricing, Sales, Finance, Renewals, IT, MDM and Field Operations to ensure proper maintenance contract establishment.
  3. Follows through to completion on any outstanding concerns. Proactive handling of incomplete requests, speed to resolve issues, and unfailing follow up.
  4. Process contract addendums (i.e. equipment location changes, customer address changes, equipment adds, equipment drops, mid-term pricing changes, etc.).
  5. Provides the Sales teams with support for questions, accounting inquiries, general follow-up.
  6. Uses Microsoft CRM, Dynamics CE 365 and Outlook to maintain accurate sales records.
  7. Manages high volume, multiple priorities, and competing demands while adhering to established Service Level Agreements.
  8. Routinely assesses time management effectiveness and addresses opportunities to operate more efficiently and effectively.
  9. Provides pre and post-sales support activities, including: conference calls, opportunity qualification, opportunity updates, and quote requisitions. May also schedule contract review meetings in order to fulfill contract requirements.
  10. Adheres to all company policies, procedures and business ethics codes.
  11. Participates in special projects as needed.
  12. Provide various administrative duties and works on projects, as needed.
  13. Other duties and projects as assigned.
What we’re looking for:
  1. 1-3 years’ experience supporting others, required.
  2. One (1) year related experience and/or training in a sales support or contract support role.
  3. High level of customer service orientation that leads to satisfaction.
  4. Strong attention to details and organizational skills.
  5. Knowledge of technology and data center equipment preferred.
  6. Operates with a sense of urgency and drive for accuracy in completed work.
  7. Must be able to manage multiple priorities and competing demands.
  8. Proficiency with Microsoft Office Applications and CRM programs, Excel proficiency required.
  9. Ability to work in a fast-paced environment; simultaneously and effectively manage tasks; prioritize personal work and coordinate with the work of others.
  10. Must be able to work additional hours during month end or times of critical volume.
