Job description

IPG Health Medical Communications is home to the world’s most celebrated and awarded Med Comms agencies. We are 800 experts obsessed with combining science, creativity and technology to create exceptional medical communications solutions for our clients.

We are looking for a Business Administrator to join our team in Macclesfield to support on business administration processes and provide an administrative support service across the business. This is an office-based role, primarily within our Macclesfield office, with ad hoc visits to our Manchester City Centre office as required.

The successful applicant will be a confident communicator with great attention to detail and organisational skills. You will have experience working as part of a team and managing your own time to meet deadlines. Attention to detail is critical in this role, as is a knowledge of Microsoft Office programmes. You will have ideally worked in an administrative role in a professional services business and be confident in your approach.

Day to day responsibilities will include, but are not limited to:

OFFICE ADMINISTRATION
  • Purchase Order and Vendor Management
  • Ordering and maintaining kitchen, stationery and office equipment needs (including IT equipment)
  • Assisting with the organisation of social events and wellbeing initiatives
  • Setting up meeting rooms and organising catering as required
  • Liaising with external contractors
  • Assisting the UK Group Facilities & Office Manager to ensure the site complies with health and safety legislation
  • Maintaining and updating databases and systems
  • Dealing with travel information requests such as booking travel (flights, taxis etc)
  • Dealing with our travel suppliers and processing expenses
  • Completing administration of financial tasks
  • Supporting Studio with Admin tasks
  • Raising Purchase Orders/ Invoicing - Generating Purchase Orders upon request for Production Projects and sending these to the supplier.
  • Media Licensing – Ordering Images, Videos, Audio and models from various suppliers upon request from agencies/studio colleagues.
  • Logging data on to various spreadsheets for record keeping and tracking.
COMMUNICATION
  • Responding to queries from the public, customers etc, both face to face and via the telephone
  • Dealing with internal and external written communications (post, emails etc) on a day-to-day basis
  • Responding to general queries from employees, signposting them to the appropriate information or member of staff as appropriate
  • Welcoming visitors and suppliers, and overseeing deliveries
