Job description

Woodford Eye Clinic are seeking a friendly, organised Optical Receptionist to join our busy optical practice. As the first point of contact for patients, you will play a key role in creating a welcoming atmosphere while providing essential administrative support to ensure smooth daily operations. This is a great opportunity to gain experience and obtain a level 3 qualification.

Working week:

Monday to Friday

09:00am - 17:00

1 hour break

Wage:

£6.40 per hour (£7.55 from April 25)

Wage rises to National Minimum Wage after 12 months

Qualification:

Business Administration level 3

Duration: 18 Months

Training Provider: LMP Education

Duties and Responsibilities:

  • Customer Care: Greet patients warmly, assist with their enquiries, and guide them through their appointments.
  • Appointment Management: Schedule appointments, update diaries, and send reminders to ensure efficiency.
  • Frame and Lens Assistance: Help patients choose frames and lenses suited to their needs, providing helpful advice and recommendations.
  • Administration: Maintain accurate patient records, handle incoming calls, process payments, and verify insurance details.
  • Reception Area: Keep the reception tidy and well-presented, ensuring a professional and welcoming environment.
  • Team Support: Liaise with optometrists and colleagues to ensure seamless patient care and workflow.
  • Problem Solving: Address patient concerns or queries promptly and professionally.

  • Excellent communication and interpersonal skills.
  • Strong organisational abilities with attention to detail.
  • Experience in customer service, ideally within optical or healthcare settings.
  • Proficiency in office software and systems.
  • A professional, approachable, and patient-focused attitude.
  • Excellent verbal and written communication to interact professionally with patients and team members.
  • Active listening skills to understand patient needs and concerns.
  • Friendly and approachable demeanour with a focus on delivering exceptional service.
  • Ability to handle patient queries and complaints effectively and professionally.
  • Familiarity with office software such as Microsoft Office Suite and scheduling systems.
  • Ability to learn and use optical-specific software for managing patient records and inventory.
  • Basic understanding of frames, lenses, and optical products, with a willingness to learn.
  • Confidence in assisting customers in selecting suitable eyewear.
  • Ability to resolve customer issues and adapt to unexpected situations quickly.
  • Proactive approach to identifying and addressing operational challenges.
  • Collaborative attitude to work effectively with colleagues and optometrists.
  • Willingness to assist other team members as needed.
  • Polished appearance and a professional manner at all times.

Desired qualifications:

A-C (4-9) English and Maths or Functional Skills equivalent

Previous Experience (Desirable):

Experience in a similar receptionist or customer service role, preferably in the optical or healthcare sector.
