Bookings Administrator

Woking Hospital | Administration | Permanent | Full Time

£24,531.00 per annum

37.5 hours per week

The Bookings Administrator will be responsible for effectively and efficiently administering a large caseload of patients from referral to discharge, ensuring the Hospital is able to always meet/exceed their service deliverables from a quantitative and qualitative perspective for all referrers.


As a Booking Administrator, you will:

  1. Process requests received by e-mail, obtaining relevant information from the patient, Consultant or Medical Secretary.
  2. Book appointments in our patient database.
  3. Liaise to coordinate and book appointments and advise the referrer and patient of arrangements.
  4. Maintain accurate and up-to-date records of all patients in accordance with company processes and procedures and within agreed timescales.
  5. Manage all patient queries during their journey through the hospital.
  6. Ensure that the referrer is kept up to date on all activities as required.
  7. Dispatch communications (reports, emails, telephone calls) to relevant parties to ensure appointments are processed effectively and efficiently and within agreed specified timescales.
  8. Ensure great customer service skills through call handling and email.
  9. Possess substantial IT literacy.

As a Bookings Administrator, you will have:

  1. Previous experience working in a fast-paced customer service environment.
  2. Demonstrable ability to prioritise and organise a workload of changing priorities in a fast-paced environment.
  3. Excellent telephone manner.
  4. Excellent verbal and written English communication skills.
  5. Good working knowledge of Excel, Word, Outlook, and bespoke databases.
  6. Excellent attention to detail.
  7. An understanding of the importance of policies and operating procedures.
