THIS POSITION IS HYBRID/REMOTE - MONTHLY VISITS TO THE KENT OFFICE

Our client is a Digital Transformation and Cyber Security Consultancy and is currently looking for a Bid Coordinator to join their dynamic team! They offer innovative digital and cyber security solutions to their clients from the public and private sectors. You'll be assisting on interesting large-scale Government and private sector projects.

This is a great opportunity for someone looking to utilize their love for organizing and talking with people along with their passion for copywriting, drafting documents, or proofreading other people's work. There is scope for the right candidate to develop a career as Bid Manager or Bid Writer.

ROLE OBJECTIVE

We are seeking an organised and detail-oriented Bid Coordinator to support the end-to-end bid process, from opportunity identification through to tender submission. This role involves assisting in coordinating the timely delivery of high-quality proposal documentation, collaborating closely with the Bid Manager, Bid Writer, and internal stakeholders, managing deadlines, and ensuring all bid requirements are met. The ideal candidate will be proactive, have a high attention to detail, love organizing people, and thrive working in a busy environment with deadlines. They should be able to stay calm and speak out if they need help.

The successful candidate will obtain a formal qualification in bid management, linked to an internally recognized formal qualification in bid management from The Association of Proposal Management Professionals. They will also be coached in bid and copywriting.

KEY RESPONSIBILITIES:

  • Assist in the preparation, submission, and tracking of bids, ensuring alignment with client requirements and company standards.
  • Candidate will be coached on how to write case studies, standard selection questionnaires, and general responses.
  • Organise, review, and manage all bid documentation, including templates, responses, and supporting materials.
  • Liaise with internal teams (e.g., sales, technical, finance, legal) to gather relevant information, clarifications, and approvals for each bid.
  • Ensure all bids are compliant with internal and external guidelines, including formatting, legal requirements, and company branding.
  • Maintain accurate records in bid management software, including bid progress, key dates, and outcomes.
  • Track and manage bid timelines, ensuring all key milestones are met and identifying any potential risks to delivery.
  • Support the quality assurance process by proofreading, reviewing, and editing bid documents to ensure accuracy and consistency.
  • Assist with post-submission activities such as debriefs, feedback reviews, and updating bid libraries.
  • Contribute to process improvements, identify best practices, and support in updating the bid template library and other bid resources.

EXPERIENCE REQUIRED:

  • Microsoft Office Suite (Word, Excel, PowerPoint), familiarity with bid management software.
  • Strong written and verbal communication skills, with attention to detail in editing and proofreading.
  • Must have excellent English.
  • Excellent time management skills and willingness to learn project organization skills.
  • Be the type of person that gets annoyed with typos and is always planning ahead.
  • Effectively work across teams, gather information, and coordinate responses with a variety of stakeholders.
  • Proactively manage bid timelines, anticipate challenges, and communicate any issues to ensure seamless submissions.
  • Thrive in a dynamic environment and adapt to changing priorities and deadlines.
  • Identify and suggest improvements to streamline the bid process and increase efficiency.
