Band 3 Secretary & Clerical Assistant - Salisbury

A vacancy has arisen within the Facilities Team for a full time Band 3 receptionist/administrator, 15 hours on Thursday and Friday.

The post is based at Fountain Way, Salisbury.

The post holder will be required to have excellent interpersonal skills both face to face and on the telephone, have an attention to detail, with a high level of accuracy and be fully competent in the use of Microsoft Office.

You will need to be able to work, both unsupervised and as part of a team with the ability to prioritise your own workload, whilst working to set targets and deadlines.

Main duties of the job

This post requires a flexible approach as you may be asked to provide administrative cover within the wider FM team. Although not an exhaustive list, the role will involve:

  • Front of house reception cover involving face to face contact with visitors and service users.
  • Dealing with telephone enquiries and operating an electronic room booking system.
  • Ad hoc cashier cover dealing directly with service users and staff.
  • Some generic admin support to include inputting to excel spreadsheets/ assisting with collation of statistic data as required.
  • Other tasks as delegated by the Facilities Manager BSW or Site Co-ordinator.

The role will suit someone who enjoys variety in their work and who can manage a range of independent tasks in support of the FM team.

This is a 15 hour permanent contract - hours Thursday and Friday 9-5.

Person Specification

Experience of working in Admin

  • Has worked in NHS or as part of a team in a large organisation.
  • Relevant qualification or experience as demonstrated by description of previous roles.

Organise a busy office

  • Relevant experience as demonstrated by description of previous roles and prioritising.

Experience of office procedures

  • Must be able to work within guidelines and keep/pass on accurate information.

Excellent diary management

  • Good understanding of booking meetings, accuracy, diplomacy, etc.

Empathy and consideration

  • Dealing with distressed people.
