Job summary

The Audiology service at the Mid Yorkshire Teaching Trust are seeking two friendly and motivated individuals to join our busy establishment of Audiologists and support staff providing a wide range of Audiological services to the local community.

Your duties will include a variety of clerical and administrative tasks which would be reception work that is both face to face and telephone, and the booking of appointments. Full training and development will be given for all relevant areas to the post. The hours to be worked are 1 x 23.25 per week and 1 x 37.5.

We are looking for someone with excellent communication skills, who has the ability to organise and work on their own initiative and be part of a team. You will need to have a good understanding of English language and numeracy. Some previous experience associated with office work would be an advantage as would basic IT skills and some experience of working with the general public.

Your place of work will be the Audiology department at Pinderfields General Hospital, although on occasions you may be asked to provide support for the Audiology department at Dewsbury and District Hospital.

Main duties of the job

The post holder will work within the Audiology team to provide a variety of clerical and administration duties in which to support the office function of the Audiology service including appointing and receiving patients to the service.

Job responsibilities

  1. Make effective use of the data management systems to ensure an efficient office function within the service.
  2. Effective and accurate processing of referrals to Audiology using all available data management systems i.e. Auditbase and CAMIS etc.
  3. Timely appointing and processing of patients to clinical sessions in line with national and Trust waiting time targets.
  4. Undertaking reception duties.
  5. Dealing with telephone enquires as appropriate.
  6. Maintaining effective clerical systems.
  7. Monitoring and requesting orders for appropriate stationery items to maintain effective service provision.
  8. Monitoring the condition of accommodation and equipment reporting to senior staff when appropriate.
  9. Where appropriate liaise with a variety of staff, including clinicians, managers and administration staff to ensure that duties and tasks can be completed effectively.
  10. Any other duties/responsibilities as delegated by the Head of Service as deemed appropriate to the role.

Person Specification

Qualifications

Essential:

  • GCSE grade A to C or equivalent in English and Maths.

Desirable:

  • Qualification in using databases.

Essential:

  • Effective team player.
  • Capable of working under pressure whilst maintaining accuracy and attention to detail.
  • Flexible approach to working hours to meet the needs of the service.

Desirable:

  • Demonstrates a caring and empathetic nature to patients needs and requirements.

Experience

Essential:

  • Experience of reception duties and telephone enquiries.
  • Experience of working with the public.
  • Experience of working both independently and in a team environment.

Desirable:

  • Worked in a Health Care Environment.
  • Working with hearing impaired people and families.
  • Working in data entry, data quality, health information or health care records experience.

Skills and Abilities

Essential:

  • Excellent communication skills, verbal and written.
  • Methodical with a strong attention to accuracy and detail.
  • Good keyboard skills.
  • Ability to work under own initiative, to prioritise and plan workload.

Desirable:

  • Working on own initiative, prioritising tasks.
  • Basic computer literacy.

Knowledge and Awareness

Essential:

  • An awareness of the importance of Confidentiality in a health care setting.
  • Awareness of own limitations.
  • Basic IT and keyboard skills.

Desirable:

  • Knowledge of Local Patient Information systems/Databases, including NHS Information standards.
